About the Role
As our Beneficiary Services Project Co-ordinator, you’ll play a key role in providing compassionate, person-centred support to Police Care UK beneficiaries seeking financial assistance and support relating to ill health retirement. The role involves conducting holistic assessments of need, managing financial grant applications, coordinating support across multidisciplinary teams, and contributing to the successful delivery of the Ill Health Retirement Project.
The post holder will act as a key point of contact for beneficiaries, helping them access appropriate support, navigate complex processes, and achieve positive outcomes. They will work collaboratively with beneficiaries, family members, healthcare professionals, partner charities, and internal colleagues to ensure timely and effective service delivery.
Key responsibilities of the role
Beneficiary Support and Assessment

Act as a point of contact for beneficiaries seeking financial assistance, welfare support, or support relating to ill health retirement.

Conduct comprehensive and holistic assessments to identify beneficiary needs and determine appropriate support pathways.

Engage in sensitive conversations with beneficiaries, providing emotional support and building supportive, professional relationships.

Identify individuals requiring additional clinical support and refer appropriately in line with safeguarding and clinical risk policies.

Signpost beneficiaries to suitable internal services and external agencies where additional support is required.

Collaborate with beneficiaries, family members (where appropriate), healthcare professionals, police forces, pension administrators, and partner organisations to ensure coordinated support.

Work flexibly across the Beneficiary Services team, providing cover for Project Coordinators during periods of annual leave, sickness, or peak demand, and supporting the delivery of projects and services to ensure beneficiaries continue to receive a high-quality service.
Financial Assistance and Grants Management

Act as the initial point of contact for all financial assistance enquiries received through Police Care UK's enquiry process.

Support beneficiaries in completing grant applications and gathering the necessary supporting documentation.

Provide guidance and information on available financial support options and eligibility criteria.

Monitor and manage grant applications throughout the assessment process, ensuring beneficiaries and relevant stakeholders receive timely updates.

Prepare and present grant applications and recommendations to the Grants Panel.

Coordinate Grants Panel meetings and ensure compliance with funding criteria and governance requirements.

Work with the Finance Team to facilitate the accurate and timely processing of grant payments.

Liaise with other police benevolent funds and relevant charities to prevent duplication of funding and identify opportunities for joint working.
Ill-health Retirement Project

Support the delivery and ongoing development of Police Care UK's Ill-Health Retirement and Career Transition Projects.

Provide information, guidance, and practical support to beneficiaries navigating ill-health retirement processes.

Deliver online group information and support sessions for beneficiaries navigating the ill health retirement process, providing guidance, sharing relevant information, facilitating peer discussion, and signposting participants to appropriate sources of support.

Coordinate project-related cases, ensuring beneficiaries receive appropriate support throughout their journey.

Work collaboratively with internal teams and external stakeholders to support beneficiaries through retirement, transition, and recovery planning.

Maintain accurate project records and contribute to project monitoring, evaluation, and reporting activities.

Identify trends, barriers, and opportunities for service improvement and contribute to the development of project resources and processes.
Multidisciplinary Working and Governance
-
Attend multidisciplinary team meetings to share updates, ensure coordination of care and collaborate, as necessary.

Where necessary, liaise with external agencies to secure additional resources and support for beneficiaries.

Maintain accurate, timely and confidential records for all beneficiary interactions, including mental health assessments, financial application details and case progress.

Ensure all documentation complies with legal and organisational standards, including safeguarding and confidentiality policies.

Engage in data collection to support the Clinical and Beneficiary Services manager in audit activity.

Conduct legal, ethical, and accountable practice and remains open to the scrutiny of peers.
- Actively engages in reflection on own practice as an ongoing process and through regular supervision.

Essential Experience and Skills

Experience of working with vulnerable populations.

Up to date knowledge and experience of welfare benefits.
- Strong planning and organisational skills.
- Excellent communicator and interpersonal skills with the ability to interact professionally with colleagues, executives, internal and external stakeholders.

Proficient in IT systems, including CRM platforms, Microsoft Office, SharePoint, and email.

Able to represent Police Care UK professionally and effectively in an external environment.

A good understanding of due diligence and related processes.
Essential Qualifications

Health and Social Care Qualification (NVQ 3 or equivalent) or an HCPC‑Approved Occupational Therapy Degree or NMC registration or counselling qualification.
