About the role
We are looking for an organised, reliable and proactive Administration Assistant to join our busy office.
You will provide day-to-day administrative support to the management and care teams, helping the office operate efficiently and professionally. The role requires excellent organisational skills, attention to detail and the ability to manage competing priorities.
Previous experience within care, supported living or mental health services is desirable but not essential.
Key responsibilities
- Answering telephone calls and responding to emails professionally
- Welcoming visitors and handling general enquiries
- Completing general administrative duties, including scanning, filing and data entry
- Maintaining accurate electronic and paper records
- Preparing letters, reports, forms and other documents
- Managing diaries, appointments and meeting arrangements
- Taking and distributing accurate meeting minutes
- Supporting staff rotas and recording sickness, absence and annual leave
- Assisting with recruitment and employee onboarding documentation
- Requesting references and supporting DBS and other compliance checks
- Monitoring training records and notifying staff when updates are required
- Maintaining service-user and staff files
- Supporting audits and ensuring documents remain current
- Ordering stationery and monitoring office supplies
- Liaising with staff, healthcare professionals, families and external organisations
- Handling confidential and sensitive information appropriately
- Providing additional administrative support when required
About you
You will be approachable, professional and able to remain calm in a fast-paced working environment.
The successful candidate will ideally have:
- Previous experience in an administrative or office-based role
- Experience within care, supported living or mental health services (desirable)
- Strong organisational and time-management skills
- Excellent written and verbal communication skills
- Good attention to detail and a high level of accuracy
- Confidence using Google docs
- The ability to prioritise tasks and meet deadlines
- A professional telephone manner
- The ability to work independently and as part of a team
- An understanding of confidentiality and data protection
- A flexible and positive approach to work
- The right to work in the UK
- Willingness to complete a DBS check if required
