Job Overview
Tartan Viking Tours is looking to hire a yard & vehicle supervisor for a flexible part time contract based in Whitburn. Ideally the candidate will be located in the Whitburn area or a maximum of 15 minutes commute.
The role will require around 10-20 hours of work per week managing our vehicle yard in Whitburn - worked mostly at hours of your choice as long as you are able to get the tasks done, keep vehicles ready & yard organsied. We have a nice clean fleet of Mercedes V-Classes which need to be kept pristine, perfectly maintained and ready for our driver guides to collect before their tours. It will be your job to ensure this is achieved. The business is very seasonable so the role will be at its peak from April-October and then it will be much less demanding through the winter.
Duties
You will be given a work phone with the 3 relevant apps to do your job. Around 40% of the job can be done remotely using this phone. The other 60% will require you to be at the yard in Whitburn. There are no fixed hours and you can choose how to allocate your time as long as the work is done to a very high standard.
- Frequent checking of our scheduling app to see when vehicles need to be ready & ensuring they are prepared in time for drivers to collect.
- Clearly communicating with drivers about vehicle collections & returns
- Occasionally driving vehicles into Edinburgh or Glasgow in evenings for late swap overs in busy season
- Occasional logistical trips to remote parts of Scotland as and when required
- Ensuring vehicles are properly cleaned inside & out and frequent communication with drivers about cleaning standards. If its a late night in peak season you may help the drivers by doing it for them on occasion.
- Occasional driving jobs such as staff Airport pickup/drop offs
- Booking vehicles in for service. Dropping/collecting them & organising transport back via bus, train or courtesy car.
- Occasional trips around the country to collect new vehicles & drive them back
- Ordering parts & keeping supplies stocked in the warehouse. Occasional trips to Costco & supermarkets to replenish snack/drink supplies for busses.
- Keeping warehouse & office clean & tidy. Vacuuming warehouse & office, organizing stock shelves, emptying rubbish regularly etc.
- Odd jobs or repairs such as repairing a hose pipe, cleaning a vehicle coolbox, changing light bulbs, re-spraying car park markings, trimming the hedges, etc
- Helping with occasional charitable non-business related jobs.
- Make sure once at least a month you align your time so that you will meet the driver in person when they drop thier vehicle back from a tour. This is important for good team dynamics and so they feel they can rely on you as thier point of contact at the yard. It is also for you to maintain cleaning standards as you can help/show them if something is not quite being done to standard.
You will be given a work phone & there is a computer in the office both of which will give you access to:
- The work calendar showing when vehicles are scheduled to go out
- Work WhatsApp groups for communicating with drivers
- Bank card and bank app to upload receipts
Experience & Requirements

- Flexible schedule - generally flexible availability 7 days a week (although you typically may only need to work part time 2-4 of these days). You can plan your own work time around the vehicle schedule.
- UK drivers license essential
- D1 bus license preferable
- Experience working with vehicles & driving
- Honesty & Trustworthiness
- Excellent time management & organsation
- Excellent communication & people skills. You will need to communicate with drivers about vehicle pickups clearly & Transport Manager about issues, stock orders & repair work etc.
- You will need to be on-the-ball in the busy season keeping an eye on the calander. A driver cannot turn up at 7am to collect a vehicle that you have forgotten to prep the day before.
A Typical Day
Each day is quite varied and some days will require more work than others if a bunch of tours are due to depart. You can usually do the job on an average of 2 hours per day. One week the tour schedule may allow you to decide to work 5 hours one day and not go in the following couple of days. An example of a typical day may be:
You may need to come in for 1 hour from 0830 to drop a vehicle for repairs at a neighboring garage, make coffees for the mechanics, then go home. Later you may go and collect the vehicle which has finished being repaired at 4pm and then go home again. Then at 7pm you may come in for an hour in the evening to meet a driver who is coming back from tour and help him clean the vehicle, prepping it for another driver who will collect it the following morning (you don't need to be there in mornings for vehicle collections).
On a different day you may go to Costco to replenish low stocks of water, drinks & snacks for the busses, drop them to the yard, organise them on shelves and then go home for the day.
Ideal Candidate
The ideal candidate is somebody who lives in or near Whitburn, has possibly left full time work and is looking for a satisfying part time job. The ideal candidate should have a flexible schedule to work odd hours, likes things to be kept organised, has strong attention to detail and has good people skills. An interest in and basic knowledge of vehicles would be ideal.
Note that this job is very much part time. Summer (1st April - 30th September) will be paid at a higher rate due to more hours being required. Winter (1st October - 31st March) will be a condensed schedule & subsequent rate of pay since you will likely not need to attend the yard more than once a week for a few hours during certain quiet months.
