AEOM is a clinically led aesthetics, skin health and longevity clinic based in Marylebone. We are looking for a warm, polished and highly organised Clinic Coordinator & Front of House to help run the day-to-day patient journey and become the face of the clinic.
This is a key role for someone who enjoys premium client service, is confident handling enquiries, and can help convert patient interest into bookings, memberships and long-term relationships.
You will be the first point of contact for patients and will play an important part in creating a calm, professional and luxury clinic experience from first enquiry through to follow-up. The role includes managing bookings, payments, patient communication, memberships and supporting the wider team with clinic administration.
What you’ll be doing
You will be responsible for:
- Welcoming patients in person and managing enquiries by phone, email and WhatsApp.
- Managing the clinic diary, bookings and clinician schedules using Pabau.
- Taking payments, deposits and supporting payment plans / membership billing.
- Responding quickly and professionally to enquiries and converting interest into consultations, bookings and memberships.
- Supporting the patient journey before, during and after appointments.
- Administering clinic memberships and supporting lab / partner communication where required.
- Helping with general administration and maintaining organised, confidential records.
- Supporting the clinic in staying professional, compliant and CQC-ready.

- Comfortable using technology, booking systems and payment platforms.
- Commercially aware and confident turning enquiries into bookings.
- Experienced in private healthcare, aesthetics, wellness, luxury hospitality or premium customer service.
Experience with Pabau or a similar clinic CRM is helpful but not essential.

The incentive scheme is linked to areas the Clinic Coordinator can directly influence, including enquiry conversion, membership growth, patient retention and patient experience. Quarterly bonuses can be worth up to £2,500 per quarter, with an additional annual scaling bonus available.
Appointment will be subject to satisfactory references and a DBS check.
Pay: £28,000.00-£45,000.00 per year
