Specialising in the identification, testing and monitoring of Water Hygiene services and focusing on working with organisations to reduce carbon footprint and water consumption.

We are looking for an administrator to support our rapidly expanding business and who can liaise effectively and efficiently with our clients, suppliers and engineers. The role will provide much needed support at an exciting time of business growth. We have just taken on a new client contract and are looking for this administrator to manage this account and portfolio of sites.
The role will be for 25 hours a week, working from 12-5pm. At present, all of the office team work remotely, though in the future there is likely to be some expectation to work one or two days a week based in an agreed location in Kent.
What the job involves:
- Organising and scheduling jobs into engineers’ diaries, checking completed reports and sending reports to clients.
- Utilising our CRM system to raise quotes, track all jobs, check progress, flag non-conformances and ensure clients are invoiced in a timely manner.
- Learning clients' management systems to manage the status of jobs, issue to engineers and upload reports.
- Updating and creating spreadsheets to manage workflow
- Liaise with our engineers regarding their job visits and checking to ensure reports have been completed comprehensively and accurately.
- Be the first point of contact to our valued clients and suppliers, on the phone and by email.
- Support the Operations Manager and Managing Director by providing relevant information for reports and updates.
- Create contracts and raise invoices on our CRM system.
- Support in the day-to-day office management, including booking rooms in hotels for engineers or making any logistical arrangements (such as parking) in advance.
- Provide any additional ad hoc administrative support to the Managing Director and Operations Manager including financial administrative tasks.
Skills and attributes we are looking for:
- Effective administrative skills, input of information, client liaison and excellent attention to detail.
- Working well in a team, a passion to support those around you to get tasks completed, but with the ability to demonstrate initiative and work alone.
- Great customer service skills; being friendly, polite and helpful and having a positive ‘can-do’ attitude.
- Fantastic communication skills, both verbal and written
- Excellent inter-personal skills, ability to get on with people and willingness to help to contribute to a smooth running of the organisation.
- Strong computer skills. Knowledge of Microsoft packages, including Excel, and the confidence to learn new software is essential.
- Somebody with a strong work ethic, who can operate in a methodical and logical manner to manage their workload and ensure tasks aren’t missed.

Key Information:
Job Type: Part-time
Part-time hours: 25 hours per week (full time hours are 37.5 hours).
Salary: £25,000 (pro-rata)
Holiday: We offer 20 days holiday, plus bank holidays. In addition, there are usually 3 days off at Christmas, that are at the discretion of the Managing Director. All holiday would be calculated pro rata.
