Job Summary
We are an award winning and highly reputable estate agency looking to expand our vibrant team. We are seeking a proactive and detail-oriented Property Administrator who will manage property-related documentation, coordinate compliance schedules, and serve as the primary point of contact for tenants. We are looking for an individual who will ensure operations runs smoothly and has excellent communication. Efficient data management is essential for this role. This position offers an exciting opportunity to contribute to the seamless running of our property portfolio while developing your administrative skills in a fast-paced environment and gaining valuable experience.
Responsibilities
- Maintain accurate property records and ensure data entry is precise and up-to-date.
- Handle general enquiries via phone and email with professional etiquette, providing timely assistance and information including booking in viewings
- Coordinate and schedule inspections, and follow up to ensure any issues are resolved efficiently
- Liaising with contractors for compliance
- Assist with preparing tenancy agreements and registering security deposits,
- Support property marketing
- Prepare reports, correspondence, statements, invoices, on boarding and documentation related to property operations and tenant/landlord communications
- Communicating with local authorities and utility companies
- Collaborate with vendors, contractors, and internal teams to facilitate smooth property management processes
Requirements
- Experience with office administration or in a similar role within property management or real estate.
- Strong data entry and IT skills (Word, Excel) with high accuracy and attention to detail.
- Excellent phone etiquette and communication skills to interact confidently with tenants, vendors, and team members.
- Ability to handle multiple priorities efficiently while maintaining professionalism under pressure.
- Ability to problem solve and take initiative.
