The Role
As our Office & Operations Coordinator, you'll support the day-to-day running of our Leeds office while assisting with our London office and wider business operations.
You'll work closely with the Financial Operations Manager, taking ownership of office coordination, administration, travel and employee experience, helping ensure everything runs smoothly across the business.
We're looking for someone who enjoys being organised, likes helping people and is happy to get stuck in, whether that's coordinating a company event, welcoming a new starter or making sure the office is ready for another busy week.
Key Responsibilities
Financial & Operations Support
This is core to the role, the day-to-day work that keeps the Financial Operations Manager focused on strategic priorities.
- Pull together data and logistics for reporting, board packs and presentations as directed.
- Support with onboarding and HR admin logistics currently owned by the Financial Operations Manager.
- Take on ad-hoc operational projects to free up senior capacity as the business grows.
Facilities Management
- Manage the day-to-day running of the Leeds office and support the London office (visiting monthly).
- Carry out regular office checks to ensure both offices are clean, organised and fully operational.
- Order and manage office supplies and stationery.
- Coordinate office maintenance, repairs and contractor visits.
- Liaise with landlords, cleaners, maintenance providers and other suppliers.
- Manage office access, keys and security arrangements.
- Coordinate incoming deliveries, post and courier collections.
- Keep office storage areas organised and maintain accurate stock levels (milk, coffee, tea etc).
- Maintain office equipment, coordinating repairs or replacements where required.
Executive Support
- Provide administrative support to Group Director and Group Operations Director as capacity allows.
- Help manage diaries, schedule meetings, book travel and restaurants for senior leaders on request.
- Support with ad hoc presentations, reports and business documents.
- Support with preparing daily, monthly and quarterly presentations.
- Provide administrative support to the wider Senior Leadership Team as required, in agreement with the Financial Operations Manager.
Workplace Experience & Events
- Ensure both offices provide a welcoming, clean and professional environment for employees and visitors.
- Set up meeting rooms ahead of internal and client meetings, and welcome visitors.
- Coordinate birthdays, anniversaries, company celebrations and gifts.
- Own the annual office calendar and monthly, quarterly and yearly incentives.
- Plan and run company socials, events and team trips, including attendee lists, dietary requirements and logistics.
- Assist with conference and event logistics and identify opportunities to improve the employee experience.
People Support
- Support Talent Acquisition with coordinating onboarding logistics for new employees.
- Prepare laptops, equipment, desks and welcome packs, liaising with IT where needed.
- Support benefit administration and employee communications.
- Assist with organising company training sessions and internal workshops.
- Act as the first point of contact for day-to-day people queries.
Travel Booking
- Book UK and international travel, hotels, flights and transfers for the team.
- Prepare travel itineraries.
General Administration
- Provide general administrative support across the business.
- Help maintain internal documents and records.
- Assist with operational projects and ad-hoc tasks.
This role is intentionally varied. As a growing business, we're looking for someone who is happy to get stuck in, take ownership and support wherever needed. Whilst this job description provides an overview of the role, responsibilities may evolve as the business continues to grow.

Experience
No previous Office Management experience is required, we're looking for someone with the right attitude, who is keen to learn and take ownership.
Pay: £26,000.00-£29,000.00 per year
