We are a modern, patient-focused private dental practice committed to delivering exceptional care and an outstanding patient experience. To support our clinical team and maintain the highest levels of service, we are seeking a highly organised and personable Patient Coordinator to join our team.
This is a predominantly administrative role, designed to support our patient journey away from the front desk environment. You will play a key role in managing patient communications, treatment plan follow-up, appointment coordination, and practice administration.
The Role
As our Patient Coordinator, you will act as a central point of contact for patients, helping them navigate their treatment journey and ensuring they receive a seamless experience from enquiry through to treatment completion.
Working closely with our clinicians and front-of-house team, you will manage patient communications, treatment plan administration, recall systems, and appointment book optimisation.
While this is primarily an administartive position, occasional front desk cover may be required during busy periods or staff absence.
Key Responsibilities
- Answer incoming telephone calls and respond to patient enquiries professionally and efficiently.
- Make outbound calls to patients regarding appointments, treatment plans, recalls, and follow-up care.
- Work collaboratively with clinicians to support patient treatment acceptance and progression.
- Send treatment plans, estimates, and supporting information to patients.
- Follow up treatment plans and patient enquiries to assist patients in making informed decisions regarding their care.
- Manage patient recall systems and ensure patients are contacted when due for examinations and hygiene appointments.
- Maintain and optimise appointment books to maximise clinical utilisation.
- Support diary management and appointment scheduling.
- Process patient payments and maintain accurate financial records.
- Ensure patient records and correspondence are updated accurately and confidentially.
- Provide exceptional customer service and contribute to a positive patient experience.
- Assist with front-of-house reception duties when required, including greeting patients and supporting the reception team.
About You
The ideal candidate will:
- Have previous experience in a dental, preferably with clinical knowledge
- Possess excellent telephone communication skills and a confident, professional manner.
- Be highly organised with strong attention to detail.
- Enjoy building relationships and helping patients throughout their treatment journey.
- Be proactive, motivated, and able to work independently.
- Have excellent computer and administrative skills.
- Be comfortable managing multiple tasks and priorities in a busy environment.
- Experience with dental software would be advantageous but is not essential.
