Contract Coordinator / Office Administrator
Fixed Term Contract: One Year Maternity Cover
Hours of work: 9am to 5pm Monday to Friday

Role Overview
Ashford FM Water Hygiene is seeking an organised and proactive Contract Coordinator to support the day-to-day administration and delivery of water hygiene contracts. The successful candidate will play a key role in coordinating works, maintaining compliance documentation, supporting clients, and assisting the operational team to ensure services are delivered efficiently and to a high standard.
Key Responsibilities
- Schedule and coordinate water hygiene works, ensuring engineers are allocated effectively and client requirements are met.
- Issue Risk Assessments and Method Statements (RAMS) for planned works.
- Issue service reports, report sheets, and associated documentation to clients in a timely manner.
- Act as a first point of contact for client enquiries, providing professional and efficient customer service.
- Assist with invoice preparation, processing, and responding to invoice-related queries.
- Maintain accurate records and perform general data entry across company systems.
- Support contract administration activities and ensure documentation is kept up to date.
- Liaise with engineers, subcontractors, suppliers, and clients to facilitate smooth service delivery.
- Monitor contract requirements and assist with compliance-related administration.
- Provide general office and administrative support as required.
- Undertake additional duties and projects as reasonably requested by management.
Skills & Experience
Essential
- Previous experience in an administrative, coordinator, or office support role.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office applications, including Outlook, Excel, and Word.
- Strong communication and customer service skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
