Job Overview
The Procurement Assistant is responsible for supporting the day-to-day purchasing requirements of the business across materials, plant hire, subcontractors and other project-related purchases.
Working closely with the Procurement Manager, Project Managers, suppliers, subcontractors and accounts, the role ensures that purchase orders are raised accurately, suppliers are appropriately onboarded, deliveries and hire arrangements are managed, and invoices are processed efficiently.
Duties and Responsibilities
· Raise and process purchase orders in Simpro for materials, plant hire, subcontractors, travel and other project requirements.
· Ensure purchase orders contain the correct job number, cost centre, delivery details, site contact information and supporting documentation.
· Obtain quotations and place orders with approved suppliers in line with project requirements and internal approval limits.
· Liaise with Project Managers to confirm purchasing requirements and obtain sufficient information to order the correct materials, equipment or services.
· Coordinate the onboarding of new suppliers and subcontractors, including credit applications, pre-qualification information and required supporting documentation.
· Ensure subcontractor purchase orders are in place before work begins and clearly identify the relevant labour, materials and associated costs.
· Monitor outstanding orders, deliveries and plant hire arrangements, including arranging and recording off-hires.
· Liaise with suppliers regarding pricing, availability, delivery times, order queries and invoice discrepancies.
· Review hire and subcontractor invoices, obtain Project Manager approval where required and forward approved invoices to accounts for processing.
· Maintain accurate purchasing, supplier and invoice records to support effective reporting and audit requirements.
· Build positive working relationships with suppliers and internal teams and assist with resolving procurement-related queries.
· Carry out any other reasonable duties appropriate to the role.

Skills and Experience
· Previous experience in procurement, purchasing or administration is desirable.
· Experience raising purchase orders and liaising with suppliers would be advantageous.
· Strong administrative, organisational and numerical skills.
· Good attention to detail and ability to maintain accurate records.
· Clear and professional communication skills.
· Confident using Microsoft 365 applications.
· Experience using Simpro or a similar procurement, finance or project management system would be advantageous.
· Experience within construction, electrical contracting or a project-based environment would be beneficial.
Pay: £25,420.00-£48,518.57 per year
