Job Summary:
To provide a sound administration/assistant service with scope to deputise for the HR Manager and Head of HR.
Working Hours:
- Monday-Friday
- 37.5 hours per week
- 9:00am-5:00pm

Key Responsibilities and Duties:
- Dealing with and responding to HR queries from the HR email inbox, escalating issues to the HR Manager and/or Head of HR.
- Recruitment/onboarding administration including producing offer letters, contracts of employment, reference checks and ensuring right to work documentation is correct.
- Dealing with correspondence in relation to starters, leavers, contractual changes, disciplinary cases, grievance hearings etc.
- Recording and monitoring of employee holidays. Ensuring information on the HR system is kept up to date.
- Completion of references.
- Monitoring absences for all the employees in the Depots. Ensuring return to work documents are completed. Ensuring all sick notes are up to date.
- Monitoring all staff time management, ensuring all employees are clocking in and out correctly.
- Aliasing with employees on long-term sick.
- Maintenance of personnel files and general HR filing, scanning and post.
- Conducting recruitment for all five of our Depots. Assisting with arranging interviews, posting jobs on Indeed and Facebook.
- Liaising with successful and unsuccessful candidates.
- General administration support for any ad-hoc tasks and projects.
- Conducting DBS checks for employees in all the depots.
- Ensuring GDPR standards are always adhered to.
- Aliasing with the Payroll Team.
- Aliasing with Managers from the Depots and assisting with any HR related questions or queries.

Qualifications and Experience:
- Previous admin experience required
- HR experience is desirable
Person Specification:
- A confident individual who is able to work independently as well as part of a small team.
- Excellent communication skills, both verbal and written
- Demonstrates professionalism in all dealings and understands the importance of confidentiality
- Ability to manage assigned tasks in an efficient and timely manner ·
- Develop and maintain good working relationships with colleagues.
- Be computer literate with HR and Time and Attendance systems, Microsoft Word and Excel.
