Encompass Geospatial provides precise and detailed mapping, surveying and geospatial data services to help clients plan, build and manage land and infrastructure projects. We are looking to recruit a full-time Business Administration Apprentice to complement our team.
This is a full-time role (35-40 hours per week, to be agreed), working Monday to Friday. The successful candidate will undertake the South Hampshire College Group's Level 3 Business Administrator Apprenticeship, which includes dedicated off-the-job training time to develop the professional knowledge, skills, and behaviours required to complete the programme successfully.
Key responsibilities
- Answer incoming calls promptly and professionally, taking accurate messages where required and ensuring enquiries are passed to the correct person or team.
- Monitor and action emails received into the Acceptances and Quotations email accounts in a timely and professional manner.
- Assist with quotation preparation, job acceptances, purchase order processing and the creation of new jobs.
- Administer new client instructions promptly and efficiently, making sure relevant information is recorded accurately and handled in line with internal processes.
- Update spreadsheets, complete data entry tasks and maintain accurate administrative records to support the wider team.
- Assist with the preparation and sending of RAMS documentation and order STAT records as required.
- Order sub-contractor services as required as part of job-related administration, ensuring requests are recorded accurately and progressed in line with internal requirements.
- Assist with the administration and recording of Continuing Professional Development (CPD) activities.
- Provide general administrative assistance to the surveyors and wider team, helping to ensure client instructions and internal tasks are dealt with promptly and efficiently.
- Assist with arranging travel requirements for the survey team, including accommodation, trains, flights or ferries, where requested.
- Assist with fleet bookings including services, maintenance and repairs, and ensuring accurate records are kept.
- Assist with deliveries, post opening, day-to-day office administration including ordering of supplies, and maintaining the cleanliness and organisation of the office.
- Provide day-to-day support to the Administration Manager, Office Manager and wider administration team, completing tasks as required.
- Provide an end-of-week update to the Administration Manager, highlighting completed tasks, outstanding items and any issues requiring attention.
Skills, Knowledge and Experience
- Strong organisational skills and excellent attention to detail.
- Ability to multitask and prioritise effectively in a fast-paced office environment.
- Strong communication skills, with confidence dealing with enquiries by telephone and email.
- Good working knowledge of Microsoft Office 365, including Outlook, Word and Excel.
- Comfortable updating spreadsheets, handling data entry and maintaining accurate records.
- A proactive, reliable and professional approach to work.
- Ability to work well as part of a supportive team and to liaise effectively with colleagues across the business.
- Maths and English GCSE at Level 4 or above, or equivalent.
- Previous experience in an administration, office support, customer service or data-entry role would be beneficial but is not essential where the candidate can demonstrate the required skills and approach.

Salary
The annual salary will be in line with the National Minimum Wage for apprentices, with an anticipated salary of £26,000 to £29,000 upon successful completion of the apprenticeship, subject to performance and business requirements.
Office-based Role
This is an office-based role due to the operational nature of the duties and the requirement to provide direct day-to-day support to the Survey Team, working alongside the rest of the administration team and wider office team.
The role involves duties that are closely linked to the smooth running of the office, including handling incoming calls, monitoring shared email accounts, processing job-related administration, opening post, supporting colleagues with live queries, maintaining accurate records and assisting with office organisation.
Being office-based supports timely communication, immediate clarification of queries, consistent service levels and efficient coordination with the team. It also enables the Administration Assistant to support practical office-based processes, visitors, deliveries and other administrative tasks that cannot be carried out as effectively away from the workplace.
The office-based requirement has been included because of the nature of the role and the business need for consistent administrative support during working hours.
