Property Inspections & Lettings Support Assistant
Pay: £14.00–£15.00 per hour + business mileage at 45p per mileHours: Part-time, 16 hours per week across 3 days (Thursday, Friday, Saturday)Location: Southend-on-Sea and surrounding areas
Blackshaw Homes is looking for a practical, organised and reliable person to join our team in a varied role covering property inspections, lettings administration support and property viewings.
A key part of the role will be carrying out routine inspections of our managed rental properties. You will be trusted to inspect properties thoroughly, identify maintenance or condition issues, take appropriate photographs and produce clear, accurate reports using our company iPad.
For this reason, previous experience in property maintenance or a good practical knowledge of residential property is essential. You don’t need to be a qualified tradesperson, but you should be able to walk around a property and recognise common maintenance issues, damage or anything that requires further investigation.
You will also support our lettings team with administration and carry out rental and sales viewings. The role involves spending a significant amount of time out of the office, travelling between appointments, so you need to be efficient, punctual and comfortable managing a busy schedule independently.
Accurate record keeping is equally important. Inspections, photographs, viewing feedback, notes and follow-up actions all need to be recorded properly and promptly.
Main responsibilities
Property Inspections
- Carrying out routine inspections of managed rental properties
- Thoroughly checking the condition of each property
- Identifying and recording maintenance issues, damage and areas requiring attention
- Checking smoke and carbon monoxide alarms
- Taking clear and relevant photographs
- Producing accurate inspection reports using a company iPad
- Flagging urgent or significant issues to the property management team
- Ensuring reports and records are completed promptly and accurately
Lettings Administration Support
- Updating property and applicant records on our CRM
- Recording notes, feedback and follow-up actions accurately
- Assisting the lettings team with day-to-day property administration
- Following up with applicants and tenants where required
- Ensuring information and records are kept up to date
Property Viewings
- Conducting rental and sales viewings
- Welcoming prospective tenants and buyers and showing them around properties
- Answering straightforward questions about the property
- Ensuring properties are properly secured after appointments
- Recording viewing feedback and notes on our CRM
- Following up with applicants and reporting serious interest to the team
The person we’re looking for
You will need to be:
- Practical and property-minded – able to recognise common property maintenance and condition issues
- Highly observant – good attention to detail is essential
- Efficient and proactive – comfortable moving between appointments and getting things completed without constant supervision
- Organised – able to manage appointments, reports, photographs and follow-up tasks
- Good at record keeping – notes and reports must be accurate, clear and completed promptly
- Reliable and punctual – our tenants and applicants are expecting you at agreed appointment times
- Comfortable being out and about – this is not primarily a desk-based position
- Confident working independently – you will spend much of your working day away from the office
- Professional and personable – comfortable dealing with tenants, landlords, buyers and prospective tenants
- Comfortable with technology – including an iPad, smartphone, email and CRM systems
Experience
Previous property maintenance experience or good practical knowledge of residential property is required.
Relevant backgrounds could include property maintenance, lettings or property management, inventories and inspections, facilities management, housing, construction, caretaking or trade work.
Full training will be provided on our systems, inspection procedures and viewing process.
Essential requirements
- Full UK driving licence and your own reliable car
- Willingness to add Class 1 business use to your car insurance
- Available every Saturday
- Reliable throughout school holidays and busy periods
- Living within reasonable travelling distance of Southend
- Good written communication and record-keeping skills
- Professional manner and appearance
Working pattern
16 hours per week across 3 fixed days:
- Thursday: 12:00pm – 5:00pm
- Friday: 12:00pm – 5:00pm
- Saturday: 10:00am – 4:00pm
These days and times are fixed.
