Come and join the chaos, we are looking for another Admin Coordinator to help keep us on top.
Event Rhino creates photo, video and interactive experiences for some pretty exciting events and brands across the UK.
Behind every amazing event, however, there are contracts to chase, artwork to organise, suppliers to coordinate, payments to collect and approximately 742 things that need to happen before someone says:
“Yep, we’re ready.”
That’s where you come in.
We’re looking for a super-organised, friendly and proactive Part-Time Event Admin Coordinator to join the Event Rhino team and help keep our events running smoothly behind the scenes.
This isn’t your typical sit-at-a-desk-and-file-things admin job. You’ll be right in the middle of our events operation, helping make sure everything we need from clients is received, organised and ready before the event.
What you’ll be doing
Once an event is booked, you’ll help take it through the next stages and make sure nothing falls through the cracks.
Reporting to our client Manager, your week might include:
* Keeping an eye on upcoming events and our handover system
* Making sure deposits and payments have actually landed including managing payments on account and long term payments
* Chasing signed contracts
* Keeping clients on track with deadlines
* Organising digital artwork and branding
* Confirming backdrop selections
* Organising artwork for custom wraps and backdrops
* Arranging the ordering of wraps, backdrops and other event materials
* Ensuring our event teams have maps, accreditation, access information and important instructions
* Sending clients their galleries after their event
* Liaising with the wider Event Rhino team to make sure nothing gets missed
Basically…
If an event needs something before it can happen, you’ll help make sure we’ve got it.
Who we’re looking for
You don’t necessarily need experience in the events industry.
You do need to be the sort of person who:
* Loves being organised
* Notices when something hasn’t been done
* Isn’t afraid to chase people
* Can juggle lots of different things at once
* Communicates confidently and professionally with clients
* Is comfortable using a Mac, Office programs such as word and spreadsheets and online systems
* Takes ownership and uses initiative rather than waiting to be told what to do
* Has great attention to detail
* Can stay calm when things get busy
* Has a good sense of humour, it helps! :-)

What’s Event Rhino like?
We’re not a huge corporate company with 14 layers of management.
We’re a growing events business where everyone gets involved, ideas are welcomed and no two weeks are quite the same.
One minute we might be organising a photo booth for a fashion event, the next we’re figuring out how to get a giant activation through the doors of a London venue.
Things move quickly, which means having the right person keeping everything organised is incredibly important.
The important bits
Hours: Monday–Friday, 9:30am–2:30pm
25 hours per week
Pay: £13.25 per hour
Equivalent annual salary: Approx. £17,250
Holiday: 28 days paid annual leave per year (including bank holidays)
Pension: Workplace pension with employer contributions in accordance with automatic enrolment requirements
Location: Luton
Start date: Immediately
This is a permanent part-time position and could be ideal for someone looking for working hours that fit around other commitments.
