The Crewing Coordinator is responsible for the day-to-day coordination of crew-related activities, ensuring the efficient coordination of crew changes, travel arrangements, and compliance with maritime regulations and company policies. This role supports the Crewing Manager in maintaining up-to-date records, arranging crew logistics, and ensuring that all crew members meet the necessary qualifications and certifications for deployment. The Crewing Coordinator plays a key role in maintaining seamless operations and ensuring the welfare of the seafarers.

Arrange and coordinate all aspects of crew changes, including travel, visas, accommodation, and transportation for seafarers.

Communicate with vessel masters, port agents and third party agents to ensure smooth crew transitions and adherence to schedules.

Maintain accurate records of crew assignments, rotations, and availability of personnel.

Ensure that all crew members hold valid certifications, medicals, and travel documents as required by international regulations (STCW, MLC) and company policies.

Prepare reparation and submission of required documentation for crew members to relevant authorities and organizations.

Manage the logistics for crew travel, including booking flights, arranging visas, and coordinating accommodation for on-signers and off-signers.

Work closely with travel agencies and port agents to secure cost-effective and reliable travel arrangements.

Address and resolve any travel-related issues or emergencies that arise during crew movements.

Serve as a point of contact for third party agents and port agents regarding their travel, contracts, and assignments, providing support and assistance as needed.

Address and resolve crew queries and concerns promptly, escalating issues to the Crewing Manager as necessary.

Assist in the preparation of reports and documentation required for audits, inspections, and internal reviews.

Ensure GDPR (General Data Protection Regulation) is adhered to regarding crew documentation and personal data.

Participate in meetings and provide input on crewing strategies, policies, and procedures.

Co-ordinate with training providers to arrange mandatory and specialized training programs for crew members.
Minimum Qualifications:

GCSE in Mathematics and English Language
Minimum Experience:
-
Minimum of 1 year of administrative experience, preferably in the maritime or logistics industry.

Basic knowledge of international maritime regulations (STCW, MLC) is an advantage.

Proficiency in MS Office (Word, Excel, Outlook) and experience with database management.

Good communication and interpersonal skills, with the ability to work as part of a team.
