About Kidney Cancer UK
Kidney Cancer UK is the UK's leading kidney cancer charity. We exist to ensure that no one faces kidney cancer alone by providing trusted information, support, advocacy, education and by working collaboratively to improve outcomes for patients and families.
As our charity continues to grow, we are looking for an experienced and organised volunteer to help strengthen our leadership capacity and enable the Chief Executive to focus on strategic priorities.
Note: this is a volunteer role with pre-approved expenses paid only.
Purpose of the Role
The Volunteer Executive Assistant provides confidential administrative and organisational support to the Executive Leadership team which consists of the Chief executive & General Manager.
This role helps ensure the team’s time is used effectively through diary coordination, meeting preparation, correspondence support and organisational administration. It offers an opportunity to gain insight into the leadership of a national charity while making a meaningful contribution to improving the lives of people affected by kidney cancer.
Key Responsibilities
The Volunteer Executive Assistant may assist with:
Executive Support
- Managing aspects of the CEO & GM's diary under direction.
- Scheduling meetings and appointments.
- Coordinating meeting invitations.
- Organising virtual meetings using Microsoft Teams or Zoom.
- Assisting with travel arrangements where required.
- Preparing meeting papers and briefing packs.
Administration
- Drafting routine correspondence.
- Formatting documents and presentations.
- Proofreading reports and papers.
- Maintaining action lists.
- Filing and organising electronic documents.
- Supporting record keeping.
Meeting Support
- Taking notes or minutes where appropriate.
- Tracking actions arising from meetings.
- Following up agreed actions.
- Helping prepare agendas.
Communications
- Responding to routine enquiries on behalf of the CEO & GM (where appropriate).
- Coordinating internal communications.
- Assisting with stakeholder correspondence.
- Helping manage invitations and speaking opportunities.
Project Support
- Supporting small organisational projects.
- Maintaining project trackers.
- Assisting with planning events and meetings.
- Coordinating information from colleagues.
Person Specification
Essential Experience
- Experience in an Executive Assistant, Personal Assistant, administrative or office support role, or equivalent transferable experience.
- Experience of organising meetings, diaries or administrative processes.
- Experience of working with confidential information.
Essential Skills and Knowledge
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Good working knowledge of Microsoft Office 365 (including Outlook, Word, Excel and Teams).
- Excellent attention to detail.
- Ability to prioritise tasks and work independently.
- Ability to maintain confidentiality and exercise discretion.
- Confident using online meeting platforms and digital collaboration tools.

- Experience of using CRM systems (training can be provided).

Expenses
Reasonable pre-approved travel and out-of-pocket expenses will be reimbursed in accordance with Kidney Cancer UK's Volunteer Expenses Policy.
