Summary
This is a newly created role based in our offices in Edenbridge, Kent. The role has a mix of responsibilities across Import/Export of pets and Admin Management. We are looking for a highly organised, proactive, and customer-focused person to join our team. The successful candidate will play a key role in managing clients and their pet travel needs and providing support for the daily office operations.
Responsibilities
- Import/Export Pet Travel (85%)
- Act as a primary point of contact for clients, providing expert guidance on international pet travel procedures, airline regulations, and country import/export requirements.
- Prepare quotations, invoices, and travel documentation (health certificates, customs forms, import permits).
- Liaise with airlines, veterinary services, customs brokers, and international agents to arrange pet travel logistics.
- Monitor and track shipments, keeping clients updated on their pets’ travel progress.
- Handle any travel-related issues promptly and professionally to ensure pets’ safety and clients’ peace of mind.
- Maintain accurate records of all bookings and client communications.
Admin Management (15%)
- Oversee day-to-day operations of a small office, ensuring smooth running of administrative functions.
- Support a team of 5 staff, coordinating workloads and maintaining workflow efficiency.
- Maintain office systems in compliance with company policies and industry regulations
- Purchase of office supplies, and general office upkeep.
- Support the Directors in HR-related tasks such as staff scheduling, onboarding, and training support.
- Implement and improve administrative processes to increase efficiency
Skills and experience:
Essential:
- Proven experience in logistics or freight forwarding, preferably within the pet travel sector.
- Strong organisational and multitasking abilities, with attention to detail.
- Excellent written and verbal communication skills.
- Customer service-oriented, empathetic, and able to reassure anxious pet owners.
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Administration or operations experience (ideally in a small business environment).
Desirable:
- Knowledge of DEFRA, IATA, and international animal import/export regulations.
- Familiarity with international shipping and customs procedures.
- Familiar with Xero financial software
