Operations & Scheduling Coordinator
About the Role
We are looking for a highly organised, proactive, and growth-minded Operations & Scheduling Coordinator to join our team.
This is a key role within the business, focused on managing the daily job diary, booking work efficiently, allocating engineers to the right jobs, and ensuring smooth communication between customers, engineers, and the office team.
The successful candidate will be confident using scheduling and operational software and able to think quickly in a busy operational environment. The role also includes an element of account management, maintaining strong customer relationships, handling customer queries professionally, and ensuring clients consistently receive a reliable, high-quality service.
Key Responsibilities
- Manage and coordinate the daily engineer schedule and job diary.
- Allocate engineers to jobs efficiently based on skillset, location, and priority.
- Liaise with customers, engineers, suppliers, and the office team to ensure smooth operations.
- Handle incoming customer enquiries and provide excellent customer service.
- Monitor job progress, update customers, and resolve scheduling issues quickly.
- Ensure engineer time is used effectively to maximise productivity and efficiency.
- Maintain accurate job records, reports, and operational updates.
- Support account management activities and maintain strong client relationships.
- Assist with operational improvements and contribute to the growth of the business.

Essential Skills & Experience
- Previous experience in operations coordination, scheduling, or office administration.
- Strong IT and administrative skills.
- Excellent organisational and time-management abilities.
- Ability to multitask and prioritise effectively in a fast-paced environment.
Advantageous Experience
- Previous experience working within trade or service-based industries such as:
- Electrical, Plumbing, Construction, Facilities Management or HVAC
- Experience coordinating field engineers or mobile workforces.
- Understanding of job costing, invoicing, and operational reporting.
- Experience using scheduling and job management software such as:
- ServiceM8, Setmore, SimPRO, Commusoft,Joblogic or Tradify
- Experience using accounting software such as:
- Xero or QuickBooks
