Objectives of the role
- Ensuring the sales administration for pub operators is carried out efficiently, accurately and to timescales
- Efficient creation and processing of operator fee invoices, ensuring correct levels of approval and correct coding to the accounts
- Ensuring all operator cash bankings and card receipts are received promptly, coded correctly, andreconciled
- Accurate reporting of the weekly mid-week bankings and end of week cash management reports,ensuring circulation of this to the Proper Pubs team
- Reduction of operator debts across the Proper Pubs estate, ensuring repayment plans are agreedbetween the BDMs and the operators, and actioned on operators’ ledger accounts
- Meeting quarterly KPI targets
Key Responsibilities
- Validate and process weekly sales declarations, ensuring discrepancies are queried and VAT istreated correctly
- Reconcile cash and expenses receipts to the declarations, request, and report variances andshortfalls
- Ensure accuracy of invoices to operators for their fees and sales incentives, when due
- Process and circulation of the weekly mid-week cash banking report
- Set up of agreed operator debt repayments and processing this through the weekly deductions
- Preparation and process of operator payment proposals ensuring payments are made on a weeklybasis
- Download and process of the weekly PDQ/Card transactions, ensuring this is reconciled on allaccounts and report on any variances
- Ensuring cash bankings and fee control accounts are reconciled on a regular basis
- Reconciliation and resolution of unallocated cash account
- Completion and reconciliation of departure statements following operator exits
- Assist in resolving operators’ and BDMs’ queries
- Process and circulate the weekly cash management report across the Proper Pubs estate, ensuringthat all variances are highlighted
- To drive a culture of continuous improvement within the team and promote across the business
- Build strong relationships within the team, the office, the company and external contacts
- Assisting with the annual company audit in providing information to auditors
- Other ad hoc duties including covering other departmental roles, tasks and project work as required
