The Green Rooms is a growing Surrey-based company specialising in the design and construction of completely bespoke garden rooms, studios and golf simulator rooms.
We're a small, friendly team and are looking for an organised, capable and personable Part-Time Accounts & Office Administrator to join us at our office in Lyne.
This is an important and varied role within the business. Your primary responsibility will be taking ownership of our day-to-day accounts and financial administration, alongside helping manage incoming sales enquiries, customer communication and general office administration.
We're looking for someone who enjoys the variety and responsibility that comes with working in a small business and is happy to get involved wherever needed.
Accounts & Finance
A key part of the role will be managing the day-to-day financial administration of the business, including:
- Managing our accounts through Xero
- Day-to-day bookkeeping
- Bank and credit card reconciliations
- Processing purchase invoices, receipts and expenses
- Raising and sending customer invoices
- Monitoring outstanding invoices and payments
- Payroll administration
- Preparing VAT returns
- Producing basic P&L and management information
- Maintaining supplier and subcontractor records
- Liaising with our external accountant
- Preparing and organising information required for year-end accounts
You do not need to be a qualified accountant. We're much more interested in someone with solid practical bookkeeping/accounts experience who is confident using Xero and understands the financial administration involved in running a small business.
Our external accountant will continue to handle the areas requiring their expertise, with you ensuring the day-to-day accounts are accurate, organised and up to date.
Sales & Customer Administration
You'll also become an important part of the customer-facing side of The Green Rooms.
Responsibilities will include:
- Handling incoming website, email, telephone and text enquiries
- Responding promptly to new sales leads
- Sending brochures and information to prospective customers
- Following up enquiries
- Maintaining our customer and sales lead records
- Booking showroom appointments
- Arranging site surveys
- Keeping customer information and project records organised
- Answering general customer enquiries
We wouldn't expect you to know everything about garden rooms from day one. As you become familiar with our products, processes and pricing, we'd like you to gradually take greater responsibility for handling customer enquiries independently.
General Office & Business Administration
As a small business, there are always things that need organising, improving or simply getting done.
The role may therefore also include:
- General office administration
- Social media management
- Assisting with marketing campaigns
- Organising documents and filing
- Ordering office supplies
- Helping improve our internal systems and processes
- Using AI and modern software tools to improve efficiency
- Other occasional tasks involved in the day-to-day running of the business
We're looking for someone who sees something that needs doing and is comfortable taking ownership of it.
What We're Looking For
Ideally, you'll have:
- Previous bookkeeping or accounts administration experience
- Experience using Xero or similar accounting software
- A good understanding of bookkeeping, payroll and VAT
- Strong organisational skills
- Excellent attention to detail
- Good written and verbal communication
- Confidence speaking with customers by telephone and email
- Good general computer skills
- The ability to manage your own workload and priorities
- A practical, common-sense approach to solving problems
- A friendly and professional manner
Experience working within a small business would be particularly useful.
You don't need to know everything on day one. We're looking for someone capable, dependable and willing to learn who can gradually take ownership of a significant part of the office administration.
Hours & Salary
20 hours per week
Monday to Thursday
9:00am–2:30pm
30-minute unpaid lunch break
£16–£18 per hour, depending on experience
This is an office-based position at The Green Rooms in Lyne, Surrey.
The Role in the Longer Term
We're looking for someone who can become a key part of our small team.
Initially, the priority will be taking ownership of the bookkeeping, accounts and general administration. As your knowledge of the business develops, we'd like you to become increasingly confident handling customer enquiries, sales administration and other areas of the day-to-day business.
