We're looking for a Roster Clerk to create cost-effective and efficient rosters for our employees, ensuring compliance with operational standards, rostering principles, and competency requirements. You'll play a key role in keeping our workforce organised and our railway running smoothly.
As a Roster Clerk, you'll make sure that 80 -100 maintenance colleagues are in the right place at the right time completing essential maintenance activities so that we can continue to deliver a safe, efficient service for our passengers and freight customers. You will be placed on a 5-6-week training course to ensure you have all the skills needed to excel in the role. You will maintain effective and efficient rosters for employees compliant with the relevant company standards in line with current National rostering principles, competency requirements and agreed Terms and Conditions. Please note: This role will cover Three bridges but also working in Brighton and Barnham.
This is a newly created role, introduced as part of our commitment to modernising and improving our maintenance function.
No two days are exactly the same, but your responsibilities will typically include:
- Creating and publishing staff rosters using the corporate rostering system, ensuring they comply with maintenance rostering principles, company policies and relevant standards.
- Preparing and updating weekly rosters, including arranging cover for annual leave, sickness absence, training, briefings and other planned activities, while working closely with managers to ensure information is accurate.
- Managing changes to rosters at short notice, communicating updates clearly with employees and managers, and responding to any questions or issues that arise.
- Coordinating roster arrangements for activities such as medical assessments and interviews.
- Scheduling training, briefings and competence-related activities to help ensure colleagues maintain the qualifications and competencies required for their roles.
- Monitoring competency information and highlighting any potential gaps that could affect roster coverage.
- Working with the Competency Delivery Specialist to help maintain accurate competency records.
- Gathering and reviewing fatigue-related data, identifying potential concerns and escalating these to the appropriate manager.
- Providing reports and information to support route and delivery unit planning, decision-making and performance reporting.
- This role may particularly suit someone who enjoys organising information, planning activities, solving problems, and working with a combination of people, data and systems.
While experience of staff rostering would be beneficial, we are keen to hear from people with a range of backgrounds and experiences. If you can demonstrate some of the following skills and strengths, we'd encourage you to apply:

- Confidence using IT systems, particularly Microsoft Excel and Word, or the ability to learn new systems with appropriate training and support
- Good communication and collaboration skills
Essential:
- Excellent knowledge of National Rostering Principles.
- Proven ability to prioritise workloads and meet deadlines.
- Strong interpersonal and communication skills.
- Experience in analysing data and producing reports.
- Understanding of conditions of service and rostering systems.
- High attention to detail and ability to manage data accurately.
- Ability to work effectively in a team, including virtual collaboration.
- Good general IT skills.
Desirable:
- Understanding of pay arrangements for rostered staff.
- Geographical knowledge of the route.
- Knowledge of the UK rail industry.
