Key Responsibilities:
- Provide assurance to the Contract Manager that all properties & assets have the required level of planned preventative maintenance and remain compliant and all PPMs are being carried out in accordance with relevant guidance or client SLA and report on same.
- Ensure that all PPM reactive tasks and remedials are escalated, reported and actioned.
- Provide client facing support on compliance delivery for service contracts and attend meetings as required.
- Set targets for the review of PPMs and quality checks of related paperwork.
- Evidence Continual improvement of the PPM and compliance document review process.
- Ensure consistent and accurate reports are produced which indicate the completion of related works and highlight any gaps in certification.
- Assist Nominated Operations Manager to improve compliance management and resolve issues on client contract as directed by the Contract Manager.
- Ensure a consistent standard of reporting is produced by engineering teams and highlight areas of possible improvement.
- Ensure compliance with OCS Quality Management System.
- Ensure records are obtained and, checked over within the reporting period.
- Promote best practice, competence, and continuous improvement in all aspects of compliance management.
- Highlight training needs of the compliance team to improve management and, quality of building services on client estates.
- Ensure adherence to KPI and SLA or otherwise provide mitigation for related contracts.
- Provide assurance to the Contracts Manager that all properties and assets receive the required level of planned preventative maintenance (PPM) and remain compliant.
- Ensure all Health and Safety (H&S) regulations are adhered to, and compliance is maintained across the teams.
- Ensure that all PPMs are carried out in accordance with relevant regulation requirements, guidance, and/or client SLAs. Report to the Contracts Manager highlighting risks in achieving adherence to conformance or statutory compliance.
- Ensure that all PPM remedial tasks are reported, raised in CAFM, actioned, managed through lifecycle to completion, and provide assurance to the Contracts Manager.
- Provide client-facing support on compliance delivery for service contracts and attend meetings as required.
- Set targets for the review of PPMs and quality checks of related paperwork with park FM’s and the OCS internal compliance team.
- Demonstrate continual improvement of the PPM and compliance document review process.
- Ensure consistent and accurate reports are produced, indicating the completion of related works, highlighting any gaps in certification or risks that could impede statutory compliance.
- Assist the Contract Manager in resolving issues on the client portfolio, directing the Asset Manager with key areas of focus.
- Ensure a consistent standard of reporting is produced by engineering teams, highlighting areas for potential improvement.
Essential Hiring Criteria:
- Experience in FM / Building Services industry.
- Administration, Use and configuration of CAFM systems.
- Familiarity with FSi Concept Evolution would be advantageous.
- High level of competence with Microsoft Office packages, particularly Excel.
- Understanding of different compliance areas within the built environment/FM.
- Understanding of FM services, contract delivery and commercial implications.
- High attention to detail.
- Methodical and procedural approach to problem solving.
- Patient and approachable work and communication style.
- Collaborative with stakeholders from different teams and organisations.
- People focused management style.
- Be able to pass a DBS.
- Have a full UK driving licence.
