Key responsibilities & duties:
- Act as the first point of contact for patients and visitors, providing a professional, friendly, and welcoming service at all times.
- Manage patient appointments, recalls, cancellations, and emergency bookings to maximise clinical diary utilisation.
- Handle incoming and outgoing telephone calls, emails, and patient enquiries efficiently and courteously.
- Maintain accurate patient records and update all communications on the practice management system (SOE).
- Process patient registrations, medical history forms, treatment plans, and NHS documentation in line with practice procedures.
- Support the smooth day-to-day operation of the dental practice and assist the clinical team where required.
- Carry out cash handling duties, including taking payments, balancing daily takings, reconciling accounts, and preparing banking in accordance with company policies.
- Monitor and manage outstanding accounts, failed appointments (FTAs), open treatment courses, and patient finance applications.
- Ensure compliance with NHS regulations, EDI procedures, Data Protection requirements, and practice policies.
- Coordinate referrals, interpreter services, and patient correspondence, ensuring all documentation is processed accurately and promptly.
- Assist with the training and support of reception staff and contribute to maintaining efficient reception procedures.
- Order stationery and maintain adequate stock levels for administrative supplies.
- Manage complaints in accordance with practice procedures and provide patients with relevant information when required.
- Maintain a clean, organised, and professional reception and waiting area environment.
- Complete daily administrative tasks, including filing, record preparation, email management, post handling, and system backups.
- Monitor health and safety standards within reception, waiting areas, and patient facilities, reporting any concerns to the Practice Manager.
- Work collaboratively with dentists, clinicians, and colleagues to deliver high-quality patient care and customer service.
