Job Overview
We are seeking an enthusiastic and confident Veterinary Receptionist to come and join our lovely team of vets, nurses and receptionists in our independently owned veterinary practice. This role is vital in ensuring smooth daily operations, providing excellent customer service, and supporting our veterinary team. The successful candidate will be the first point of contact for clients and their pets, demonstrating professionalism, compassion, and efficiency at all times. Previous experience in the veterinary sector is a definate advantage but not essential.
Duties
- You must be able to work every other Saturday morning from 9am - 1pm.
- Opening up and closing down of the surgery
- Greet clients and their pets warmly upon arrival, creating a welcoming environment
- Manage appointment scheduling and booking operations, confirmations, and rescheduling to optimise clinic flow
- Answer phone calls, respond to enquiries, and handle correspondence professionally
- Taking medication and food orders
- Maintain accurate and up-to-date patient records and administrative documentation, including our Pet health scheme
- Reviewing and actioning emails
- Sending booster recalls, thank you cards etc to clients
- Process payments efficiently and accurately
- Debt collection
- Cashing up and balancing monies at the end of the day
- Relaying complex messages from clients to vets and nurses
- Support the veterinary team with administrative duties such as stock management and filing
- Holiday and sickness cover when needed
- Ensure the reception area remains tidy, organised, and welcoming for clients and visitors
- Requirements
- You must have a minimum of 2 years experience of managing a busy reception desk. (Previous VETERINARY reception experience is advantageous)
- You must have previous cash handling and end of day balancing experience
- Excellent organisational skills with the ability to multitask and prioritise effectively in a busy environment
- Strong communication skills, both verbal and written, with a friendly demeanour
- Proficiency in using computer systems and business management software
- Ability to remain calm under pressure and handle sensitive situations with compassion
- Flexibility to work varied shifts as required by the practice’s operational hours
