A steady job, done properly
We need someone to take ownership of the administrative engine room of a small, profitable business - and to keep it running well for years. There is no team underneath this role and no obvious promotion above it. We are being upfront about that because the person who will be happiest here isn't looking for a ladder. They want interesting, varied work, a company that values them for doing it well, and a reasonable finish time.
Everything in this description depends on someone doing it properly, and the difference between adequate and excellent in this job is worth a great deal to us.
About us
GSL is a UK software and data business serving the purpose-built student accommodation and build-to-rent sectors. Our platform helps large residential operators understand what their residents actually think, and act on it. We work with some of the biggest names in the sector across the UK, Europe, Australia and North America.
We're a small team - which is why this role matters. There is no shared services function to absorb the work. You'd be it.
What you'd actually do
- CRM ownership (Microsoft Dynamics). Keeping our client and pipeline data accurate, complete and trustworthy. Records updated, duplicates resolved, renewals and dates correct. When someone runs a report, you're the reason it can be relied on.
- Client administration. Chasing purchase orders, getting invoices into the right client portals, completing new-supplier onboarding forms, keeping our details current on client systems. Some of this is genuinely tedious and all of it directly affects whether we get paid.
- Light bookkeeping. Raising sales invoices, reconciling in Xero, chasing overdue payments politely but persistently, keeping supplier records straight. Working alongside our accountants rather than replacing them.
- Compliance. Insurance renewals, information-security documentation, data-protection records, client questionnaires and security reviews. Keeping a calendar of what's due and making sure nothing lapses.
- System testing. Supporting the Customer Success and Tech teams by helping out with testing and feedback on new systems and features as we develop and roll them out for clients.
- Documentation. Keeping system and business documentation up-to-date and implementing guides where needed. Reviewing documentation (including reports) produced by other teams for accuracy.
- Efficiency. Working with AI and other tools and solutions to champion process efficiency in the business and to keep things running smoothly.
Who this suits
- Someone who finds satisfaction in things being in order, and mild irritation when they aren't.
- Someone who hates inefficiency and always looks to improve processes to be smoother, faster and more reliable.
- Someone comfortable politely chasing a stranger in a large organisation for the fourth time.
- Someone who can be trusted with a task and left to it - you will not be micromanaged.
- Someone with good written English. A lot of this job is short, clear, professional emails.
- Someone who has done work of this type before, in whatever setting. We care far more about reliability and judgement than about your CV having the right job titles on it.
Experience with Dynamics CRM or Xero is useful but not required - both are learnable, and we'll train you. Career breaks and non-linear histories are absolutely fine.
Who it doesn't suit
Anyone who wants to be a manager, wants a defined progression path, or is still looking to discover what they are good at and want to do. Those are perfectly reasonable things to want, they just aren't part of this role and we'd rather that was clear from the start.
Hours and location
We'd take this as full-time or part-time, and we mean that rather than saying it. Four days, three full days, or school hours across five would all work - tell us what suits you and we'll build the role around it. What matters is that the work is covered regularly, reliably and consistently.
We're based in Tunbridge Wells and we'd need you in the office at least two days a week. The rest is up to you. Aspects of the role will be made much easier with easy access to colleagues for a quick chat.
