As Business Administrator, you will play a central role in supporting the day-to-day administration of the business. Working closely with the COO and colleagues across commercial, customer service, manufacture, and product teams, you'll help coordinate activities, maintain business records, support customers and ensure administrative processes are completed accurately and on time.
Location and Travel
- Base Location: Koalaa HQ in 41 Standard Road, London NW10 6HF.
- Attendance: Required on-site each day.
- Travel: Possible travel needed in the future as the position evolves.

As our Business Administrator, you'll be responsible for providing administrative support across the organisation, ensuring business processes are completed efficiently, records are maintained accurately and activities are coordinated in accordance with company procedures and the Quality Management System (QMS).
Key Responsibilities
- Provide day-to-day administrative support across all business functions.
- Track actions, monitor deadlines and follow up on outstanding tasks.
- Maintain CRM records, customer information and onboarding documentation.
- Prepare customer quotations, invoices and sales documentation.
- Process customer orders and monitor fulfilment activities.
- Prepare shipping documentation and liaise with logistics providers.
- Maintain quality management documentation and controlled records.
- Support audits, customer complaints, CAPA activities and compliance documentation.
- Prepare reports and maintain accurate business records.
- Coordinate meetings, prepare agendas and record meeting actions.
- Assist with document control and ensure company records remain organised.
- Identify opportunities to improve administrative processes and support continuous improvement initiatives.
About You
You'll be someone who enjoys organisation, takes pride in accuracy and likes helping a business run efficiently.
You'll ideally have:
- Experience in a business administration, office administration or coordination role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Excellent attention to detail.
- Good IT skills including Google Business Suite.
- Experience working within healthcare, manufacturing, logistics or another regulated environment (desirable).
