Job Summary & Objectives:
- To fastidiously manage the conveyancing process of property sales from offer agreed to completion.
- Proactively communicating with all parties; solicitors, mortgage advisors, vendors and purchasers by telephone.
- Ensuring all records are meticulously maintained including all communication notes and progress updates in Alto
Key Performance Indicators (reviewed Annually):
- Sales Progression checked every 7 days
- Request Google review on completion
- Check purchaser’s Financial Services arrangements and a referral to Mortgage Broker
- If both parties’ using same solicitor check a referral of one party made to Conveyancer
- Reduce the time from sale agreed to completion on a rolling 3-month basis
- Update Sales Progression Excel Log and Alto Sales Progression daily
- Ensure all notes are clear and logged correctly in Alto
- Prepare and issue sales memoranda on the day all sales information is gathered and due diligence completed

Key tasks to include (subject to change according to business needs):
- All sales to be managed in accordance with company policies, ensuring Vendors & Purchasers are kept fully updated with the current situation, and any issues identified are promptly resolved.
- Ensure all communications with the company are handled promptly and effectively.
- Cover Client Service Associate duties, when necessary, not only during absences, but during the working day to facilitate their attendance at properties etc including:
- All applicant enquiries to be used as an opportunity to build a relationship, comprehensively recording requirements in accordance with company guidelines to match available properties
- Generate Market Appraisals from Viewing Enquiries when property to sell locally.
- Agree sales and carry out due diligence
- Refer new applicants to Financial Services (Mortgage Broker) at initial contact
- Refer new applicants to Conveyancer at initial contact
- Refer purchasers and vendors service providers they may require during the purchase/sale process including surveyors, removals, gas/electrical testing, damp proofing etc at the time offer accepted.

- Knowledge of Alto software an advantage
- Knowledge of Estate Agency compliance regulations and legislation an advantage
