About the role
The Accounts Administration Assistant will play a key role in supporting the financial administration requirements of Motor Assist. You will be responsible for accurate invoice processing, maintaining organised and efficient inbox management, and responding promptly and professionally to both customer and supplier queries. The successful candidate will ensure smooth administrative operations and uphold high levels of accuracy, compliance, and customer service.
You will be required to attend the Fort Dunlop office for a minimum of two days per week.
What you’ll be doing

accurately input and process supplier and customer invoices into the relevant systems

validate invoice details to ensure correct pricing, authorisation, and supporting documentation
-
resolve discrepancies by liaising with internal stakeholders, customers, suppliers and the Head of Motor Assist
-
maintain orderly records and ensure financial documentation is filed and stored in line with Company policy
-
monitor, organise and prioritise shared inboxes to ensure timely responses and task allocation
-
identify urgent items, follow up outstanding actions and escalate issues where necessary to the Head of Motor Assist

maintain accurate and up-to-date logs, spreadsheets, and administrative records

support the wider Motor Assist team with general admin as required

respond professionally to customer and supplier queries

provide updates on invoice status, payment schedules, credit notes, and general account queries

build and maintain positive working relationships with internal stakeholders, suppliers, and external partners

ensure excellent customer service and efficient issue resolution

you will conduct your role confidentiality and ensure compliance with GDPR
-
follow internal financial processes and contribute to continuous improvement
-
assist with audit checks, reporting requirements, and internal process reviews where required
-
carry out reasonable tasks as requested by your Line Manager.
What you’ll bring

previous experience in an accounts admin or finance support role
-
strong attention to detail with excellent numerical accuracy
-
confident and capable user of financial systems and Microsoft programmes
-
strong communication skills with the ability to handle supplier and customer queries professionally
-
able to work independently, manage own workload, and prioritise tasks
-
organised, proactive, and comfortable working in a fast-paced environment
-
