Highest Qualification & Professional Experience:
- Significant experience supporting children or young people with SEND and/or vulnerabilities, particularly within post-16 or FE/ITP settings.
- Experience working in an operational support role such as Teaching Assistant, HLTA, Learning Mentor, Pastoral Support, Family Support Worker, or similar.
- Experience completing and maintaining statutory documentation, including EHCP paperwork and Annual Review administration.
- Proven experience communicating with parents/carers and liaising with local authorities and external agencies.
- Experience of multi-agency working across education, health, and social care.

About the Position
The Teaching Assistant and SEND Support Administrator is an operational role within the Independent Training Provider. The postholder supports the day-to-day co-ordination of SEND and safeguarding processes, ensuring learners with EHCPs and additional needs are supported, safeguarded, and able to access learning in line with organisational policies and statutory requirements.
The role is a non-leadership post and focuses on co-ordination, administration, and liaison. While the postholder may hold a teaching qualification, the role does not include responsibility for curriculum delivery, teaching, or assessment.
Main Purpose
Under the direction of the Head of Post-16 the postholder will:
- Co-ordinate operational SEND processes and EHCP administration across the provision.
- Act as a consistent day-to-day point of contact for parents/carers, local authorities, and external agencies, escalating complex matters as required.
- Support safeguarding processes and student welfare in line with organisational procedures.
- Maintain accurate, timely statutory records and documentation.
- Support inclusive practice, learner wellbeing, and safe learning environments
- Supporting delivery in the classroom and small groups with completion and understanding of assignments.
Duties and Responsibilities
- Working with your manager and team to contribute to the development and implementation of strategic and operational plans.
- Working with your manager to deliver day-to-day operational business activities in line with LDT goals, principles, values and customer service excellence.
- Working with your manager to ensure compliance with all business and personal objectives.
Teaching Assistant and SEND Support
- Ensure all SEND and learner records are maintained accurately and within statutory timescales to support compliance, quality assurance and inspection readiness.
- Follow LDT processes and policies.
- Support and comply with any audits.
- Support learners with the uploading of work to the E-portfolio system.
- Support and create resources.
- Coordinate operational EHCP processes, including liaison with Local Authorities, monitoring statutory timescales and ensuring actions arising from reviews are completed or escalated appropriately.
- Act as a consistent operational point of contact for parents/carers.
- Support learner transitions into and within the provision in line with agreed plans.
- Work alongside the Designated Safeguarding Lead (DSL) to support safeguarding processes and learner welfare.
- Identify, record and promptly escalate safeguarding and welfare concerns in accordance with organisational policy and statutory guidance.
- Remain vigilant to the increased safeguarding risks experienced by learners with always SEND and promote the welfare of children and young people.
- Attend multi-agency meetings, reviews, and case conferences as required, providing operational updates and follow-up actions.
- Signpost families to relevant services and support agencies where appropriate.
- Work in line with the SEND Code of Practice, Equality Act 2010, safeguarding legislation, and organisational policies.
- Support attendance, engagement, and wellbeing monitoring for all learners.
- Support the implementation of the SEN policy and procedures as directed by senior leadership.
- Support the application of agreed teaching and support strategies.
- Maintain awareness of local SEN services and external provision to support referrals and liaison.
- Work in accordance with safeguarding policies and procedures and always promote the welfare of children and young people.
- Remain vigilant to the increased safeguarding risks for learners with SEND and report concerns promptly.
- Contribute to staff guidance and information sharing when requested.
- Maintain departmental trackers as requested.
- Undertake other reasonable duties as directed by senior management.
- Uphold and communicate the organisation’s values in all interactions.
- Maintain awareness of current developments in SEND practice relevant to the role.
- Escalate concerns, risks, or capacity issues to senior leadership appropriately.
