ABOUT THE ROLE
Operating at the highest levels of international motorsport, M-Sport UK delivers programmes across the FIA World Rally Championship, Rally Raid and a variety of global customer racing activities. We’re looking to recruit a highly organised and proactive Travel Coordinator to join our growing Travel Office at our Dovenby Hall headquarters.
This is an exciting opportunity to play a key role in supporting M-Sport’s global operations by coordinating travel arrangements for employees, motorsport teams and business activities. Working closely with colleagues across the business, travel providers and external stakeholders, you will help ensure travel is planned efficiently, accurately and cost-effectively, supporting the successful delivery of our championship-winning programmes around the world.
The role responsibilities include:
- Travel Coordination: Coordinate domestic and international travel arrangements for employees, events teams and business activities, ensuring requirements are met accurately and efficiently.
- Flight & Accommodation Bookings: Arrange flights, hotels and other accommodation requirements, ensuring bookings are suitable, cost-effective and aligned with operational requirements.
- Travel Itineraries: Prepare and maintain accurate travel itineraries, communicating relevant booking and travel information to employees and teams.
- Ground Transportation: Coordinate car hire, transfers, taxis and other ground transportation requirements as required.
- Travel Changes: Manage changes, cancellations and amendments to travel arrangements, responding quickly to changing operational requirements.
- Supplier Liaison: Develop and maintain professional relationships with airlines, hotels, travel agencies and other travel providers.
- Travel Documentation: Assist with passports, visas, travel documentation and other entry requirements, ensuring relevant information is accurate and available ahead of travel.
- Record Keeping: Maintain accurate records of bookings, costs, itineraries and traveller information in accordance with company procedures.
- Cost Management: Monitor travel costs and identify opportunities to achieve value for money whilst maintaining appropriate standards of service.
- Employee Support: Provide a professional and responsive service to employees, assisting with travel queries and resolving issues before and during travel.
- General Travel Administration: Provide administrative support to the Travel Office whilst assisting with ad-hoc projects and continuous improvement activities as required.

Essential Criteria & Skills:
- Organisation & Attention to Detail: Exceptional organisational skills with the ability to manage multiple travel arrangements and priorities while maintaining a high level of accuracy
- Communication Skills: Excellent written and verbal communication skills with the confidence to liaise professionally with employees, suppliers and external stakeholders.
- Customer Service: A strong customer-focused approach with the ability to provide a professional and responsive service to employees and teams.
- Administration Skills: Strong administrative ability with the capability to coordinate complex arrangements and respond effectively to changing requirements.
- Problem Solving: Ability to identify and resolve travel-related issues quickly and effectively.
- Operational Flexibility: A flexible and adaptable attitude towards working hours; there is a clear expectation that work outside of normal operating hours will be required at certain times during live events and critical transit windows.
- IT Literacy: Good working knowledge of Microsoft Office applications, particularly Excel, Outlook and Word.
- Time Management: Ability to prioritise workloads effectively and meet strict deadlines within a busy fast-paced environment.
Preferred Experience:
- Previous experience within a travel, administration, logistics or events role.
