ELMS Health Solutions Ltd is seeking a reliable, highly organised and digitally confident Operations Administrator.
This varied role provides essential day-to-day support across administration, HR, compliance, care planning, scheduling, finance and digital communications. You will help maintain accurate records, coordinate key activities and ensure operational processes run smoothly across the organisation.
The position is ideal for someone who enjoys managing multiple responsibilities, works accurately with minimal supervision and wants to develop within a values-led care organisation. For the right candidate, there is a clear progression pathway into an Operations Manager role.
Key Responsibilities
- Maintain accurate, confidential and audit-ready staff and operational records.
- Support staff onboarding, offboarding, DBS checks, right-to-work records and UKVI documentation.
- Monitor mandatory training, supervisions, appraisals and probation reviews.
- Maintain CQC evidence, policy-review schedules, safeguarding records and compliance documentation.
- Support the preparation of CQC inspection and audit evidence.
- Monitor care-plan reviews and file care plans, risk assessments and Mental Capacity Act documentation.
- Update rotas and visit information using CareLineLive.
- Record missed visits, late arrivals and staffing coverage issues.
- Communicate schedule changes and cover requirements to care staff.
- Prepare operational, care-planning and visit-completion reports.
- Check and submit timesheets for payroll.
- Prepare draft client invoices and maintain receipts, expenses, funding and petty-cash records.
- Support general data entry, document retrieval and financial reconciliation.
- Ensure information is handled in accordance with GDPR, the Data Protection Act 2018 and company confidentiality policies.
Experience and Skills
- At least two years’ experience in an administrative, coordination or operations-support role.
- Confident user of Microsoft 365, including Outlook, Teams, SharePoint, Word and Excel.
- Strong written communication and attention to detail.
- Excellent organisation and time-management skills.
- Ability to prioritise competing tasks and work with minimal supervision.
- Experience managing professional social-media accounts.
- Experience updating website content using WordPress, Wix or a similar content-management system.
- Experience within care, healthcare or another regulated environment is desirable but not essential.
Qualifications
- GCSEs or equivalent in English and Maths.
- A qualification in Business Administration, Digital Marketing or IT is desirable.
- Microsoft 365 certification is advantageous but not required.
Requirements
- Applicants must have the legal right to work in the UK.
- An Enhanced DBS check is required due to work involving vulnerable adults.
- The successful candidate must maintain strict confidentiality when handling personal, HR, financial and operational information.
