Ross + Liddell are seeking an Administrator to join our busy New Business Team. The successful candidate will be responsible for ensuring a smooth and efficient onboarding process of newly handed over developments, into our operational teams.
Newly handed over developments include new build sites which we are appointed to manage on behalf of owners, as well as existing sites transitioning from one Factor, over to ourselves, as the newly appointed Factor.
Duties:-
-Liaise with Developers regularly to discuss timing of handovers.
- Ensure that essential documentation is received as quickly as possible, to ensure that we have all relevant information prior to set up.
-Reading Title Deeds where required, to identify owners responsibilities, and to ensure that our set up is correct.
-Providing effective communication to our homeowners explaining our role as Factor and the services we provide within their development.
- Coordinate with various departments to ensure all necessary information is available to all staff, to ensure an efficient management service is being provided from the commencement of our instruction as Factor.
- Liaise regularly with contractors as handover stages progress, to ensure essential contracts are put in place, and grounds maintenance areas are updated
- Provide ongoing support and guidance to operational staff, to ensure that the knowledge of individual sites is passed on to our operation teams.
Experience/Skills
- Strong communication skills, both written and verbal
-Strong organisation skills.
- Experience in reading Title Deeds
-Background in Property Factoring or working with Developer is required.
- An understanding of the Code of Conduct, under the Property Factors (Scotland) Act 2011

Working hours are 9am - 5pm. After a 3 month integration period, you will be eligible to apply for a change in shift pattern, to suit your requirements. We offer 8-4, 9-5 or 10-6 shift patterns. Optional hybrid working is also available after integration period.
We offer 23 days' annual leave package, rising to 24 after 1 years' service and 25 after 2 year's service. All staff get their birthday off work.
