The Opportunity
The Fleet Compliance Coordinator plays a pivotal role in ensuring compliance across our fleet operation, supporting the safe, legal, and efficient management of vehicles, trailers, and fleet assets throughout the network. Working closely with both operational and central teams, the role is responsible for maintaining compliance with Operator Licence obligations, regulatory requirements, and company policies, while ensuring fleet records, maintenance schedules, and asset data are accurately managed. Through effective auditing, reporting, governance, and stakeholder engagement, the Fleet Compliance Coordinator promotes a culture of safety, compliance, and continuous improvement, supporting the Fleet Compliance Manager in minimising risk and ensuring fleet assets are fully compliant, operationally available, and fit for purpose.
What you’ll do:
Reporting into the Fleet Compliance Manager your main areas of responsibility will be:
- Administer fleet compliance activities to ensure adherence to Operator Licence requirements, transport government bodies, company policies and legal obligations
- Proactively identify, monitor and escalate fleet compliance risks across the Fleet Compliance Manager
- Actively involved in the scoping and testing of telematics system upgrades, ensuring the software is fit for purpose across all Gist fleet
- Support the Fleet Compliance Manager with regular fleet audits, admin changes
- Oversee the transfer, reallocation, repatriation and disposal of vehicles and trailers between sites, ensuring accurate records and compliance at all times
- Administration of compliance for all peak hires to make sure all the assets are legal and compliant before being used in the operation
- Reconciliations of fleet-based systems for fleet compliance
- Monthly check of Penalty Charge Notices (PCN) paid, against sites issued
- Reporting trend data for PCN issued
- Point of contact for daily fleet queries raised
Who you are:
- Experience and knowledge of transport operations
- Good knowledge of Operator Licence, driver and vehicle compliance legislation
- Understanding of Operator Licence compliance, DVSA requirements and fleet governance processes
- The ability to communicate effectively with all customers and stakeholders
- The ability to work under pressure
- Strong organisational and administrative skills with excellent attention to detail
- Commitment to safety, compliance and delivering high standards of service
- Understanding business objectives and leading by example
Role details:
Salary: Circa £34,000 per annum
Working hours: 37.5 hours per week | Monday to Friday (A level of flexibility is expected to ensure effective operational coverage)
Locations: Hybrid - Chineham, Basingstoke
