The Opportunity
As a Sales Operations, you will be responsible for all areas of trip operations, from confirmation up until our clients return home, you will lead a team of Sales Operations Specialists who are accountable for completing all operational tasks on a booking. This includes everything from overseeing the initial booking process to issuing final documentation and even stepping in should an incident in country impact a trip. You will oversee the management of the resource, working practices and efficiency of your team. You will choose one area of geographical specialisation to work in (and will step in to help in others) and you’ll take responsibility for the end to end operation of all bookings within this region.
Aiming to deliver a high standard of quality, service, and trip satisfaction from the moment a client confirms a booking with us, you’ll be expected to promote a culture of learning and development within your team and ensure that it operates consistent with the Audley values and behaviours and set KPIs. Operating a tailor-made booking can be complex and time pressured, so you will need to ensure that excellence in service, organisation, attention to detail and speed of response is the norm.
Key responsibilities include:
- Take ownership of operating of all bookings within your geographical region ensuring that your team of Sales Operations Specialists are on track with their tasks in line with their KPIs and the team’s SLAs. These tasks include but are not limited to making and amending bookings, following the quality assurance process in order to confirm a trip with a client, the pre travel process, assisting with operations on trip and following up with our finance team and suppliers to ensure that we pay our partners on time

Where possible, identify areas for improvement of this process, for example thinking about bulk bookings of popular properties, and work with our local partners and product teams to make these changes

Where an incident occurs, work to understand the extent of the impact on Audley clients

Once the impact is understood, work with the Sales, Operations, Flights and Duty office teams in order to make plans to help impacted clients and take ownership of making any changes to client’s bookings where required
- Where an incident occurs or continues out of hours, work with the Duty Office Managers to effectively hand the incident over, ensuring that the Duty Office are best placed to manage the incident during their working hours
- Be responsible for the productivity and efficiency of your team, ensuring a consistent, efficient, and accurate rate of work by each of the team members which delivers to team KPIs

Conduct 1-2-1s and quarterly check ins with the individual members of your sales operations team to provide support in carrying out their roles. This could include identifying training needs, or development potential, assisting them with challenges or answering day-to-day queries
- Highlight any areas for concern such as underperformance to the Head of Sales Operations and work with the team to foster improvement

Working as a team with your management colleagues, ensure that your team and the function globally maintains an appropriate level of resource. This will be key to ensure that we are able to maintain and deliver to our team KPIs and SLAs

Working as a team with your management colleagues, ensure the overall workload of the department is well planned and executed to meet our targets. This may involve moving resource from one geographical area to another or working in other areas yourself

Knowledge and experience within the travel industry, preferably within tour operators

Patient with others and willing to transfer own knowledge and experience to others

Lead and display positivity towards new company processes and procedures

Possess high amounts of initiative to deal with challenges and suggest solutions to the Head of Sales Operations

Comfortable working on projects alone and within a team and happy to turn their hand to any project content
