We are seeking an organised, experienced and detail-oriented Post Exchange & Post Completion Conveyancing Assistant to join our growing conveyancing team.
This role will primarily support the conveyancing department with post-exchange and post-completion administration, ensuring matters progress efficiently from exchange through to registration at HM Land Registry.
The successful candidate must have previous experience within a residential conveyancing environment and be confident handling SDLT submissions and Land Registry applications.
Key Responsibilities
Post Exchange
- Preparing and issuing exchange letters to all relevant parties.
- Updating clients, estate agents, mortgage brokers and other solicitors following exchange.
- Ensuring completion dates and post-exchange requirements are accurately recorded on the case management system.
Post Completion
- Preparing and submitting SDLT returns to HMRC within the required deadlines.
- Obtaining SDLT5 certificates and ensuring these are correctly saved to the file.
- Preparing and submitting applications to HM Land Registry, including AP1 applications and supporting documentation.
- Dealing with registration requirements and ensuring applications are submitted promptly following completion.
- Monitoring Land Registry applications and dealing with requisitions where appropriate.
- Liaising with solicitors, lenders and other relevant parties regarding post-completion matters.
- Updating the case management system accurately throughout the process.
- Updating Lender Exchange/LMS
- Ensuring all post-completion tasks are completed in accordance with internal procedures, lender requirements and regulatory obligations.
- Maintaining accurate records and ensuring completed files are ready for closure.
Essential Skills and Experience
- Previous experience working within residential conveyancing.
- Experience of post-exchange and post-completion processes.
- Experience submitting SDLT returns.
- Experience preparing and submitting HM Land Registry applications.
- Familiarity with AP1 applications and Land Registry registration requirements.
- Excellent attention to detail and organisational skills.
- Ability to manage a high volume of matters and work to deadlines.
- Strong written and verbal communication skills.
- Ability to work independently and take ownership of tasks.
- Confidence using case management systems and online portals.
Desirable
- Experience dealing with Land Registry requisitions.
- Knowledge of lender requirements and UK Finance Mortgage Lenders' Handbook.
- Experience working in a busy, high-volume conveyancing department.
