This initially administrative role has scope to expand longer-term into a Fleet Maintenance and Planning Role. This role would be ideal for a college graduate looking for a long-term career within the transport sector.
The Transport Operations & Compliance Coordinator will report to the Transport Manager, as well as working well with the wider team and organisation. They will assist the day-to-day transport administration tasks, maintain accurate records and documentation. They will liaise with drivers, customers and internal teams.
Role Responsibilities

Customer, Supplier, and Internal Communications
- Act as a key point of contact for drivers, customers, suppliers, and internal departments via telephone, email, WhatsApp and other communication channels.
- Support general office tasks.
- Telephone communications with customers, drivers and suppliers.
- Facilitate the timely exchange of information to support efficient transport operations and service delivery.
- Support the maintenance of customers and prospective leads within the company CRM system and accounting system.
- Manage purchasing administration, including ordering materials and maintaining purchase order records.
Compliance Support
- Monitor and support compliance with DVSA regulations, including drivers’ hours, Working Time Directive, tachograph requirements, driver licence checks, CPC validity, and daily walkaround inspections.
- Maintain accurate and up-to-date compliance, driver, vehicle, and insurance records.
- Support write up of investigations of incidents, infringements, defects, and compliance breaches, and updating insurance records as required.
- Conduct driver inductions, refresher training, and the administration of PPE and equipment.
- Identify areas for improvements and suggest corrective actions?
- Adhere to company Health & Safety policies and procedures at all times.
Driver and Operations Support
- Assisting with day-to-day transport operations including maintenance of systems, communication with Drivers and other internal departments, preparation of documents including Waste Transfer Notes and support other operational administration activities.
- Provide driver support, including issuing documentation, coordinating driver and vehicle recovery where required
- Support Driver claims for Expenses such as CPC claims.
- Update Transport Management System
Maintenance and Repair Coordination
- Oversee vehicle maintenance and defect management, including planning repairs, servicing and MOTs, communicating with garage workshops and the Transport Planner to logistically minimise vehicle downtime.
- Liaise with garages, workshops and repair providers to ensure vehicles remain roadworthy and compliant.
Systems, Data and Reporting
- Update and maintain transport management systems (TMS), CRM records, and other operational databases.
- Maintain accurate transport activity records using company systems.
- Provide data entry, reporting, and administrative support to the Transport Manager and wider transport team.
Essential Requirements
- Strong organisational and time management skills (Transport is a fast-paced industry)
- Excellent communication skills
- Work off own initiative as well as being able to report into manager
- Computer literate (IT skills to GCSE standard)
