Office & Accounts Coordinator

Hours: Monday to Friday, 9:00am – 5:00pm (1 hour unpaid lunch)

NW Services Group Ltd is a growing group of specialist companies providing electrical, fire protection, building services and facilities management across North Wales and the North West.
As our business continues to grow, we’re looking for an experienced and highly organised Office & Accounts Manager to take ownership of the day-to-day running of our office.
This is not a standard administration role. We’re looking for someone who can manage the office with minimal supervision, take responsibility for our administration and accounts processes, and help create an efficient, well-organised business that allows our directors to focus on growth.
The Role
You will be responsible for the smooth day-to-day running of the office and supporting all areas of the business.
Your responsibilities will include:
Accounts & Finance
- Raising customer invoices promptly from completed works.
- Credit control and chasing outstanding payments.
- Processing supplier invoices.
- Bank reconciliations.
- Processing weekly and monthly payroll.
- Pension administration.
- Preparing information for VAT returns and our external accountants.
- Preparing supplier payment runs for approval.
- Maintaining accurate financial records.
Office Administration
- Managing incoming calls and emails.
- Dealing with customer enquiries.
- Managing office correspondence.
- Maintaining organised digital and paper filing systems.
- Ordering office supplies and stationery.
- Supporting directors with general administration.
Operations Support
- Scheduling works and supporting engineers.
- Creating job packs.
- Ordering materials.
- Liaising with suppliers.
- Uploading engineer paperwork.
- Ensuring completed jobs are closed and invoiced promptly.
- Maintaining accurate customer records.
HR & Compliance
- Maintaining employee records.
- Processing starters and leavers.
- Recording holidays and sickness.
- Organising training courses.
- Monitoring training expiry dates.
- Assisting with recruitment and interview arrangements.
- Maintaining company compliance records, accreditations and documentation.
Reporting
- Producing weekly office and accounts reports.
- Monitoring outstanding invoices and debtor reports.
- Assisting with business performance reporting.
About You
We’re looking for someone who:
- Has previous experience in an office management, accounts or finance administration role.
- Is highly organised with excellent attention to detail.
- Can manage multiple priorities effectively.
- Is confident using Microsoft Office.
- Has excellent communication skills.
- Is able to work independently and take ownership of their workload.
- Enjoys improving systems and processes.
Experience within the construction, engineering, electrical or facilities management industries would be highly advantageous.
Experience with accounting software such as Xero and job management systems such as ServiceM8 or Uptick would also be beneficial.
What Success Looks Like
The successful candidate will become the central point of contact for the office, ensuring administration and accounts are completed accurately and on time, invoices are issued promptly, payroll runs smoothly, outstanding debts are actively managed, and the office operates efficiently with minimal input from the directors.
