Xtracare Ltd are looking for an experienced administrator to join our team.
We are a Home Care Agency based in Maidstone Kent. You will be joining an independent family owned and operated company. We provide services for people of all ages and with varying needs of care and support in their own homes. The ideal candidate must be flexible, organised, computer literate and able to work under pressure. Working alongside the office team and the company Owners/Directors. Reporting to the Company Manager you will assist in enabling the company to fulfil its obligations as laid down by the Care Quality Commission and Kent Social Services
Key Responsibilities in no particular order
· Maintaining staff holiday and sickness records
· General admin duties, including filing and archive storage-managing the archived files in rotation
· Updating daily care records and notes onto computer system
· Keeping staff personnel files updated and accurate including training files keeping client files updated and accurate
· Dealing with clients and their families by phone, letter or e-mail. - completion of monthly telephone reviews with all clients and completing documentation accordingly regarding the outcomes.
· Liaising with our carers, office colleagues as well as professional bodies such as Social Services, GP’s, District Nurses for best outcomes of our clients.
· Purchasing office supplies including stationery and carer equipment/uniform.
· Ensuring all information is in line with GDPR requirements and regulations
· Managing essential dates including staff and client’s birthdays etc. and ensure provision of related cards be sent.
· Ensuring the completion and sending of a monthly staff memo to all carer colleagues, which requires liaising with office colleagues for relevant input and decision of our carer of the month
Essential
·Strong IT skills including Microsoft Word, Excel and Outlook
·Previous office administration experience
·Excellent written and spoken communication skills
·Have compassion and empathy when dealing with our clients as well as high regard for confidentiality
·Having attention to detail
·Good time keeping
·Willingness to learn and take on new projects
·Excellent ability to prioritise daily tasks

Full Time, permanent position 8 am – 4 pm Monday to Friday (lunch hour unpaid)
£25000 per year paid fortnightly
28 days holiday including bank holidays, increasing to 32 days including bank holidays after the first year.
