The Role
We are seeking a highly capable and experienced Legal Assistant to provide short-term cover within our busy Richmond practice. This is not a trainee or work-experience role. We require someone who can settle in quickly, exercise sound judgement and provide reliable support with minimal supervision from the outset.
The successful candidate will be organised, confident and client-focused, with strong legal administrative experience and the ability to manage competing priorities accurately and calmly. Experience in property and/or private client work will be particularly valuable.
You will provide practical legal and administrative support to the firm during a short period of cover. The role will include responsibility for progressing routine tasks, maintaining files and deadlines, preparing high-quality correspondence and ensuring that solicitors are properly supported across active matters.
Main Duties
- Opening, maintaining and closing client files in accordance with the firm’s procedures, including accurate electronic filing and document management.
- Managing incoming and outgoing correspondence, emails, post and telephone enquiries professionally and efficiently.
- Monitoring key dates, undertakings, completions, appointments and other deadlines, and escalating urgent matters promptly.
- Liaising appropriately with clients, solicitors, estate agents, counsel, courts, government bodies and other third parties.
- Preparing, formatting and proofreading legal documents, letters, forms and client correspondence to a high standard.
- Assisting with property, wills and probate, lasting powers of attorney and commercial matters, according to experience.
- Using the firm’s case management system and Microsoft Office to maintain accurate records and produce well-presented documents.
- Carrying out routine legal and factual research, obtaining information and preparing concise summaries where required.
- Supporting billing, file reviews, compliance checks and general office administration as necessary.
- Maintaining strict confidentiality and consistently observing professional, regulatory and data-protection requirements.
Essential Requirements
- A minimum of two years’ recent experience as a legal assistant, paralegal or legal secretary in a solicitor’s practice.
- Proven ability to take responsibility for tasks and work effectively with limited supervision.
- Excellent written English, document-production and proofreading skills.
- Exceptional attention to detail and a reliable approach to deadlines and follow-up.
- Confident and professional communication skills, including telephone and client-facing work.
- Strong IT skills, including Microsoft Word and Outlook, with the ability to learn a case management system quickly.
- Good numeracy and the ability to work accurately under pressure.
- Availability to commit fully for the required temporary period.
Terms
- Temporary, short-term appointment for at least 1month.
- Office-based in Richmond upon Thames, subject to any arrangement agreed in advance.
- Working days/hours: Mon-Fri
- Rate of pay: competitive and dependent on experience.
- Start date: immediate or as soon as possible.
