As our business continues to grow, we are looking for an organised and proactive Office Administrator to join our team in Cardiff. About the Role
The Office Administrator plays a vital role in ensuring the smooth day-to-day operation of our office. You will be the first point of contact for visitors, customers, and suppliers, while providing administrative support across several areas of the business including Operations, HR, Finance, and Health & Safety.
This is a varied and rewarding role that requires strong organisational skills, attention to detail, and a positive, can-do attitude.
Key Responsibilities
- Manage incoming emails, post, and correspondence, ensuring they are distributed promptly.
- Answer and direct incoming telephone calls, taking messages where required.
- Maintain electronic and paper filing systems accurately and efficiently.
- Provide day-to-day administrative support to office staff.
- Procure and manage office supplies and consumables.
- Welcome visitors and create a professional first impression of the business.
- Prepare refreshments for visitors and meetings when required.
- Help maintain a clean, organised, and presentable office and meeting room environment.
- Coordinate office maintenance activities, including annual servicing and compliance requirements.
- Assist with HR administration, including annual leave records, sickness tracking, employee correspondence, and new starter vetting.
- Assist with internal and external audits, and compliance requirements.
- Support the planning and coordination of company meetings, projects, and events.
- Prepare meeting agendas and take accurate meeting minutes when required.
- Provide administrative support to the Finance function, including debtor follow-up, issuing statements, and maintaining records as required.
About You
We're looking for someone who is organised, reliable, and enjoys helping others. You will be comfortable managing multiple priorities and confident communicating with people at all levels.
- Excellent verbal and written communication skills.
- Strong organisational and time-management abilities.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
- Ability to prioritise workload and work independently.
- Professional and friendly telephone manner.
- Previous experience in an administrative, office support, or receptionist role.
- Experience supporting HR, Finance, or Health & Safety administration.
- Ability to speak Welsh.
- Positive, professional, and approachable.
- Proactive and willing to take ownership of tasks.
- Strong team player who enjoys supporting colleagues.
- Adaptable and eager to learn new skills and systems.
- Trustworthy and able to handle confidential information appropriately.
