Office Manager & Executive Assistant
Salary: £26,000–£37,000 per annum (depending on experience)
Location: Fully Remote (UK)
Hours: Monday-Friday, 8:00am-5:00pm (Early Finish Every Friday)

The Role
Working directly alongside the Managing Director, you’ll take ownership of the day-to-day running of the office.
You’ll be trusted to manage enquiries, coordinate engineers, support customers, keep projects moving and ensure nothing falls through the cracks.
No two days are ever the same.
One moment you’ll be welcoming a new customer and arranging a survey, the next you’ll be preparing quotations, speaking with suppliers, raising invoices, scheduling installations or improving our internal systems.
We’re looking for somebody who naturally takes ownership, enjoys responsibility and gets satisfaction from seeing an organised, efficient business.
You’ll have the autonomy to make decisions, improve processes and become an integral part of our future growth.
What You’ll Be Doing
- Answering incoming customer calls professionally and confidently.
- Managing the company inbox and ensuring every enquiry receives a prompt response.
- Booking surveys, installations, servicing and maintenance visits.
- Coordinating engineers’ schedules and daily workloads.
- Preparing professional quotations from survey information.
- Following up quotations and supporting customers throughout their journey.
- Raising invoices and assisting with day-to-day accounts administration.
- Chasing outstanding payments professionally.
- Liaising with suppliers, manufacturers and subcontractors.
- Maintaining customer records within our CRM.
- Managing Gmail, Google Workspace and company documentation.
- Registering warranties and maintaining commissioning records.
- Supporting the administration of our FOAC Comfort Care maintenance plans.
- Identifying opportunities to improve systems, processes and customer experience.
- Using modern software and AI tools, including ChatGPT, to improve productivity and efficiency.
Who We’re Looking For
We’re looking for someone who genuinely wants to become part of the business—not simply someone looking for another office job.
You’ll ideally have experience within an office management, executive assistant, senior administration or business support role.
Experience within construction, engineering or the trades would be beneficial, although it isn’t essential.

This is a fully remote role
Applicants must have a suitable home working environment, reliable internet connection and be available during standard business hours. Occasional meetings or training sessions may be required.
