Potter's Window Cleaning is one of the leading exterior cleaning companies in the region, looking after thousands of homes and businesses across Cambridgeshire, Bedfordshire, Hertfordshire, Northamptonshire and Buckinghamshire. Our teams provide window cleaning, gutter clearing, conservatory roof cleaning and fascia & soffit cleaning in more than 25 towns — and we're still growing.
We're now looking for an organised, personable Operations Coordinator to run the day-to-day of our office: looking after customers, keeping our cleaning teams' schedules running smoothly, and making sure nothing falls through the cracks.
The role
You'll be the first voice our customers hear and the link between them and our teams out on the road. No two days are the same — one minute you're booking in a new customer, the next you're reworking a day's schedule.
Day to day, you will:
- Answer inbound calls from new and existing customers — quote requests, bookings, account queries and the occasional complaint
- Respond promptly to enquiries by text message, WhatsApp, email and web form
- Price and book in standard jobs, and pass larger or unusual work to the director for quoting
- Plan and coordinate daily job schedules for our cleaning teams across the region
- Rearrange work at short notice around weather, access issues, holidays and sickness
- Keep customer records, job notes and pricing accurate and up to date in our CRM
- Take card payments, set up Direct Debits and follow up overdue accounts
- Handle general office admin and support the director with ad-hoc tasks
About you
Essential:
- A confident, friendly telephone manner — a big part of this job is on the phone
- Well organised, able to juggle calls, messages and schedule changes without dropping things
- Calm and practical when plans change at short notice
- Comfortable with technology and quick to learn new software — we run modern, cloud-based systems
- Clear, accurate written English for emails and text messages
Desirable (not essential — we'll train the right person):
- Experience scheduling or dispatching field staff (cleaning, trades, logistics, care rotas or similar)
- Customer service or office administration experience
- Good knowledge of the local area and road network
Pay: From £28,000.00 per year
