Job Summary
We are seeking a highly organised and efficient Administrator to join our team working evenings and weekends.
The successful candidate will be responsible for providing comprehensive administrative and reception support to the E4 Primary Care Network Enhanced Access Hub, ensuring the efficient delivery of patient services. The postholder will be responsible for patient registration and arrival, appointment management, call handling, clinical administration, patient support, and assisting clinicians to ensure high-quality patient care and operational effectiveness.
Duties
Reception and Patient Administration
- Welcome patients attending the E4 PCN Enhanced Access Hub in a professional, timely and courteous manner.
Appointment Management
- Book, amend, cancel and reschedule patient appointments using the relevant clinical systems.
- Manage appointment requests in accordance with service protocols.
- Ensure appointment slots are utilised effectively and escalate capacity issues where necessary.
- Support patients with appointment-related queries and signpost appropriately.
Telephone and Communication Duties
- Answer incoming telephone calls promptly and professionally.
- Respond to patient enquiries and direct calls to the appropriate clinician or service.
- Take accurate messages and ensure timely communication with relevant staff members.
- Liaise with GP practices, healthcare professionals and external organisations as required.
Clinical Administrative Support
- Create and process referrals in line with service procedures.
- Generate blood test request forms and other clinical documentation as directed by clinicians.
- Assist clinicians with administrative tasks to support patient consultations and service delivery.
- Ensure referrals and patient records are completed accurately and processed within required timescales.
Patient Care and Support
- Provide assistance and support to patients attending the service.
- Send patient feedback and satisfaction surveys following appointments.
- Support patients with completing forms and accessing healthcare services where appropriate.
- Act as a chaperone for clinical consultations and examinations in line with organisational policy.
Specimen Management
- Manage the safe handover, recording and transportation of blood samples and other clinical specimens in accordance with local protocols.
- Ensure specimens are handled securely and documentation is completed accurately.
Team Support
- Work collaboratively with colleagues across the Enhanced Access Hub and wider Primary Care Network.
- Provide administrative support to clinicians and fellow team members as required.
- Contribute to the smooth day-to-day running of the service.
- Participate in team meetings and service improvement initiatives.
Compliance and Governance
- Maintain up-to-date mandatory training requirements.
- Adhere to all organisational policies, procedures and clinical governance requirements.
- Follow infection prevention and control procedures.
- Maintain confidentiality and information governance standards at all times.
- Report incidents, concerns or risks in accordance with organisational policies.
- Accurately arrive and register patients onto the clinical system.
- Verify and update patient demographic information as required.
- Assist patients with enquiries and provide information regarding services available.
- Maintain patient confidentiality at all times in accordance with GDPR and NHS guidelines.
Skills
- Proven NHS experience ideally within a GP Practice with strong organisational abilities
- Proficiency in computer skills, including Microsoft Office (Word, Excel, PowerPoint)
- Experience with data entry and clerical work, demonstrating attention to detail
- Excellent typing skills for efficient document processing
- Strong communication & interpersonal skills
- Strong organisational skills to manage multiple priorities effectively
- Good phone etiquette
