Harrington Windows is looking for an exceptionally organised, proactive and commercially minded Sales & Operations Administrator to manage the administration that keeps our customer journey moving—from first enquiry and quotation through survey, ordering, installation, invoicing and aftercare.
This is a varied, high-responsibility role for someone who enjoys taking ownership, communicating confidently by phone and email, and maintaining control of numerous live jobs at once. You will work remotely as a central point of coordination between customers, the sales team, surveyors, suppliers, production and fitting teams.
Harrington Windows is a premium window-installation business serving homeowners across London, Hertfordshire, Essex and Cambridge. We specialise in bespoke sash, uPVC, timber, Georgian and casement windows, with a strong focus on quality, customer experience and compliant installation.
The role
You will be responsible for the day-to-day administration of the business and will play a key role in ensuring every customer receives a smooth, professional experience.
The role covers sales administration, quotation support, order processing, purchasing, installation coordination, payment collection and customer service. It is therefore important that you are comfortable switching between tasks, following up proactively and keeping accurate records throughout.
Key responsibilitiesSales and quotation administration
- Respond promptly and professionally to incoming customer enquiries by telephone, email and online lead channels.
- Call new leads quickly, qualify requirements, book appointments where appropriate and follow up outstanding enquiries.
- Prepare, issue and amend customer quotations accurately and in a timely manner.
- Maintain a clear record of all leads, quotations, follow-ups, customer conversations and next actions within company systems.
- Support the sales process by ensuring customers receive the correct information, documents and timely updates.
- Follow up quotations professionally to help convert opportunities into confirmed orders.
- Obtain signed approvals, deposits and required customer documentation before work progresses.
Order processing and production coordination
- Process confirmed customer orders accurately from survey through to manufacture and installation.
- Review survey information, specifications, dimensions, drawings and customer requirements to identify errors, omissions or discrepancies before orders are released.
- Prepare and submit orders to production and external suppliers, ensuring all product details, colours, glazing, hardware, finishes and associated items are correct.
- Liaise with surveyors, production partners and suppliers to resolve technical or administrative queries quickly.
- Monitor order acknowledgements, manufacturing progress, expected delivery dates and any changes to agreed specifications.
- Maintain accurate job files, order records, survey documents, purchase records and customer correspondence.
- Ensure all parties have the correct information at the right time to prevent avoidable delays, errors and remedial work.
Supplier and purchasing administration
- Liaise with window, door, glass, hardware and ancillary-product suppliers.
- Request and compare pricing, lead times and availability where required.
- Raise and manage purchase orders, ensuring they are accurate and authorised.
- Track supplier confirmations, delivery dates and outstanding items.
- Follow up delayed or incomplete deliveries and resolve discrepancies with suppliers promptly.
- Work closely with production and installation teams to ensure materials are available when required.
Installation coordination
- Coordinate installation dates, schedules and job requirements with customers, surveyors and fitting teams.
- Issue fitting packs, job information, specifications and relevant documentation to installers.
- Keep customers informed throughout the installation process, including expected delivery and fitting dates.
- Monitor job progress, identify potential scheduling issues early and help find practical solutions.
- Ensure completed installation paperwork, photographs, customer sign-off and relevant compliance information are collected and filed.
- Liaise with fitters and surveyors on snagging, remedial works, outstanding items and post-installation requirements.
- Support the delivery of a professional, well-organised installation experience from booking to completion.
Invoicing and payment collection
- Raise and send invoices, deposit requests, balance invoices and payment reminders accurately and on time.
- Maintain clear records of payments received, outstanding balances and customer account status.
- Contact customers by telephone and email to collect overdue payments professionally and firmly.
- Escalate payment concerns internally where necessary.
- Work with the finance function and company systems to ensure sales, invoices and payment records remain accurate.
- Help ensure payments are collected in line with agreed payment terms and before relevant stages of work proceed.
Customer service and aftercare
- Act as a helpful, professional first point of contact for customers throughout their journey.
- Handle customer queries, changes, concerns and complaints calmly, efficiently and with appropriate follow-up.
- Provide accurate updates on quotations, surveys, orders, deliveries, fitting dates, invoices and aftercare matters.
- Coordinate resolutions for snagging or post-installation issues with suppliers, surveyors and fitting teams.
- Maintain clear communication and ensure no customer query or job issue is left unresolved.
- Protect the premium reputation of Harrington Windows through excellent service, attention to detail and ownership.
About you
We are looking for someone who is highly dependable, detail-focused and comfortable managing a busy pipeline of work independently. You must be confident dealing with customers and tradespeople alike, able to prioritise effectively and willing to take ownership rather than wait to be chased.
You will ideally have experience in a fast-paced administration, sales support, order processing, installation coordination, construction, home-improvement, manufacturing or customer-service environment. Direct experience in windows, doors, glazing, fenestration or bespoke home improvement would be a significant advantage.
Essential skills and experience
- Proven experience in a busy administration, operations, sales support, customer service, order processing or coordination role.
- Excellent written and verbal communication skills, including confident telephone manner.
- Strong customer-service skills and the ability to communicate professionally with homeowners, suppliers, surveyors and installers.
- Excellent organisation, task management and follow-up discipline.
- Exceptional attention to detail, particularly when working with quotes, specifications, orders, invoices and customer records.
- Confidence managing multiple live jobs, deadlines and competing priorities.
- Strong IT skills, including Microsoft Office or Google Workspace, spreadsheets, email and CRM/job-management systems.
- Ability to work independently and productively in a fully remote role.
- Commercial awareness and confidence following up leads, quotations and overdue payments.
- A proactive, practical and solutions-led approach.
Desirable experience
- Previous experience within the windows, doors, glazing, fenestration, construction or home-improvement sector.
- Experience interpreting survey information, product specifications, drawings or technical measurements.
- Experience processing bespoke or made-to-measure orders.
- Experience coordinating installation teams, subcontractors or field-based operatives.
- Experience using CRM, quoting, accounting, scheduling or order-processing software.
- Knowledge of FENSA, building-regulation documentation or the end-to-end residential window-installation process.
