At The Sugar Box Clinic, our reception team are much more than people who answer the phone. They are the first impression of our clinic, the guardians of our diary, and a huge part of creating the calm, professional experience our clients expect.
We're looking for an experienced receptionist who is naturally warm, organised and confident. Someone who enjoys talking to people, isn't afraid of difficult conversations, and can confidently implement our clinic policies while making every client feel valued.

Your Role
As our Front of House Receptionist, you'll be responsible for creating a five-star experience from the moment a client contacts us until they leave the clinic.
This role includes:
- Welcoming clients into the clinic with warmth and professionalism.
- Managing our appointment diary efficiently.
- Booking, moving and rearranging appointments.
- Taking payments and deposits.
- Confidently explaining and implementing our Terms & Conditions, including deposit requirements and cancellation charges.
- Handling cancellations professionally while protecting the clinic diary.
- Making outbound calls to clients who have enquired about treatments.
- Following up with clients who have cancelled appointments to encourage them to rebook.
- Contacting existing clients who are due or overdue appointments.
- Supporting treatment and skincare sales through natural conversations.
- Encouraging clients to pre-book future appointments before they leave.
- Responding promptly to telephone, email and online enquiries.
- Keeping reception organised, stocked and welcoming.
- Supporting the Clinic Manager with administrative duties.
- Assisting with basic Xero administration if required (training can be provided).
- Helping with opening and closing procedures.
- Working as part of the wider clinic team and supporting wherever needed.
What We're Looking For
You'll ideally have previous experience working on a busy reception desk within a clinic, healthcare or customer service environment.
You'll also be:
- Confident speaking on the telephone.
- Comfortable making outbound calls.
- Able to manage difficult conversations professionally.
- Happy enforcing company policies without feeling uncomfortable.
- Highly organised with excellent attention to detail.
- Able to prioritise multiple tasks.
- Calm under pressure.
- Friendly, caring and approachable.
- Commercially aware and confident encouraging clients to book treatments and purchase products.
- Comfortable learning new systems and processes.
- A proactive team player who enjoys helping wherever needed.

Hours
This is a part-time employed position.
Some evening work until 8pm on Thursdays and occasional Saturdays will be required.
As our clinic continues to grow towards opening seven days a week and extending our opening hours, there will be opportunities for additional hours for the right person.
Both fixed and flexible rotas are available where clinic capacity allows.

Pay: £12.71-£16.00 per hour
