About the Role
This role sits at the heart of The Window Sanctuary. You will take ownership of the day-to-day office and help keep projects, people, customers and information moving from confirmed sale through to survey, ordering and installation.
Customer service is a major part of this role. Our customers expect a high level of care and communication, so you must be confident picking up the phone, speaking face to face and handling questions directly. You will work closely with the owners and wider team to make sure customers feel informed, problems are followed through and the office runs without everything coming back to the owners.
Core Responsibilities (but not limited to)
You will take ownership of the day-to-day office, keeping customers informed, the team organised and projects moving.
- Act as a key point of contact for customers, handling calls, face-to-face conversations and queries in a warm and professional way so customers feel informed and well looked after.
- Oversee the flow of live projects from sales handover through surveying, ordering and installation so each job moves forward with clear ownership and without avoidable delays.
- Keep customers updated throughout their project, using phone, email and face-to-face communication as needed so they always understand what is happening next.
- Run regular project and team check-ins, making sure actions have clear owners and deadlines so issues are followed through and nothing gets forgotten.
- Keep Business Pilot and internal systems accurate and up to date so the whole team can rely on one clear source of information for every customer and project.
- Coordinate communication between sales, surveyors, order processing, suppliers and installers so handovers are complete and everyone knows what needs to happen next.
- Resolve customer and operational issues calmly and directly, taking ownership where possible and making sure problems do not get left sitting in an inbox.
- Support the office team and improve day-to-day systems so communication is clear, work is organised and the business becomes less dependent on the owners.
A Bit About You
You are organised, practical and confident dealing with people. You are comfortable picking up the phone, speaking to customers face to face and handling difficult conversations when needed.
You have:
- A strong customer service background, ideally in a business where customers expect a high level of personal care and communication
- Confidence speaking to customers by telephone, face to face and in writing, without relying on email as the main way to solve problems
- Experience in office management, administration, operations, project coordination or a similar role
- Strong organisation skills and the ability to manage several live priorities without losing track of important details
- A practical problem-solving mindset with a strong sense of ownership and responsibility
Extra Credit
(Nice to have, not essential)
- Experience in the window, door, glazing, construction or home improvement industry
- Experience using Business Pilot (to confirm) or a similar CRM / job management system
- Experience coordinating surveyors, installers, tradespeople or field-based teams
- Previous experience supporting HR processes, team reviews or performance management
