As a Legal Secretary, you'll be a trusted point of contact for lawyers and colleagues, providing comprehensive secretarial and administrative support to ensure work is delivered efficiently and to the highest standards.
Key responsibilities will include:
Client & Administrative Support
- Managing correspondence, emails and document workflows on behalf of lawyers.
- Preparing, formatting and producing legal documents, reports and client communications.
- Creating and maintaining electronic case files and ensuring information is accurately recorded.
- Managing inboxes, filing systems and document management platforms.
- Preparing electronic bundles and collating documentation for clients, Counsel and experts.
- Coordinating meetings, diaries, travel arrangements and client events.
- Drafting routine correspondence and communications on behalf of fee earners.
- Maintaining accurate client records and ensuring files remain organised and up to date.
- Supporting business development activities, including client contact reporting and event administration.
- Handling confidential information in accordance with firm policies and data security requirements.
- Assisting lawyers with billing, expenses and finance-related administration.
- Supporting the management of work in progress (WIP) and fee collection activities.
- Processing disbursements, payments, bank transfers and account-related requests.
- Investigating and resolving billing and account queries.
- Maintaining spreadsheets and contributing to management information reporting.
- Liaising with Finance and other support teams to ensure the smooth processing of financial activities.
- Acting as a key point of contact for lawyers and providing responsive, proactive support.
- Building effective working relationships across legal and business support teams.
- Supporting colleagues during periods of absence or high workload.
- Attending and coordinating team meetings where required.
- Working closely with the Secretarial Team Leader to ensure service excellence and effective workload management.

Skills, Knowledge & Experience
- Previous experience in a legal secretary, legal support or professional services support role.
- Strong document production and administrative skills.
- Advanced Microsoft Office skills, including Outlook, Word and Excel.
- Experience using document management or case management systems.
- Excellent organisational skills with the ability to manage competing deadlines and priorities.
- Strong communication skills and a professional, client-focused approach.
- Ability to work proactively, take ownership of tasks and see issues through to resolution.
- High levels of accuracy and attention to detail.
- A collaborative team player who is willing to support colleagues when required.
- Positive, adaptable and resilient, with a flexible approach to changing priorities.
- Ability to handle sensitive and confidential information with discretion and professionalism.
