Job Description
JOB FUNCTION
TO PROVIDE ACCOUNTS AND ADMINISTRATION SUPPORT TO THE DAY TO DAY RUNNING OF OPERATIONS.
ROLE AND RESPONSIBILITIES
To carry out all reasonable requests to assist in the smooth running of the company.
- Administration duties as required by the team.
- Filing and Managing Office Systems
- Load weekly timesheets and process payments
- Submit and verify all CIS payments
- Process supplier Invoice
- Raise Sales Invoices
- Produce accurate monthly reports
- Control van issues sheets and van checks ensuring all are carried out accurately and in a timely manner.
- Controlling vehicle maintenance and road legal, and driver checks. Organizing repairs for management sign off.
- Organize incoming tickets, plant waste materials etc. update plant lists and check with ops weekly plant requirements and ensure only required plant is on hire.
- Managing companies’ communications requirements Printers and phones.
- Manage new starter process, packs and issuing to accounts, tickets to be copied and scanned.
- Incoming invoices to be tracked and issued to accounts for payment and copies held in site file on SharePoint and folders.
- Assist with updating cost tracker spreadsheets for jobs.
- Source plant and materials when required, by telephone and follow up with and email to ensure delivered on time.
PERSON SPECIFICATION
Well presented, organized, articulate, approachable team player with an ability to prioritize workload. Experience of Xero accounts required
Construction Industry experience preferred
