Head of Operations
Wellesbourne, Warwickshire (hub-based, not remote)
About us
Concierge Medical is a CQC-registered private GP membership practice covering the Cotswolds, Warwickshire and Gloucestershire. Around 14 doctors visit members at home, backed by a small operations team. We're bringing operations, compliance and HR together under one senior hire, reporting directly to the Managing Director.
The role
You'll run day-to-day operations, hold the CQC responsibility, act as our Data Compliancer enforcer, and own HR and onboarding. You'll work closely with the Medical Director on clinical delivery and the Chief of Staff on projects.
Operations
- Own the doctor rota and cross-cover, including out-of-hours, and step in personally when a clinical system goes down or a doctor calls in sick
- Monitor our communications channels and make sure tasks land with an owner and actually get finished, not just assigned
- Solve patient problems directly rather than passing them up the chain
- Plan ahead of trouble: rota gaps, sickness cover, and system risk, before they turn into an incident
- Handle reactive issues as they land: patient reallocation, IT faults with our clinical system, new starter setup
- Chase overdue membership payments and keep supplier contracts under review
- Review reports and make sure appropriate action is taken on them
- Stay close to patients and doctors, and solve problems in a dialectic manner
- Smooth over trade-offs between functions: clinical delivery against sales pressure, hospitality-style service against a more paternalistic clinical style
Compliance and governance
- Hold CQC compliance responsibility: run the compliance meeting cadence, own the risk register and the issues log, keep the practice audit-ready
- Act as the enforcer of data compliance and data protection decisions
People
- Run recruitment and onboarding for doctors and operations staff
- Handle HR day to day: absence, flexible working requests, the practical side of employment issues
- Own training compliance tracking
What we're looking for
- Operations management experience in a regulated healthcare or care setting, ideally with CQC exposure
- Comfortable being the named Registered Manager and DPO; both carry personal accountability to the regulator and the ICO
- A generalist who can move between a rota problem, an HR issue, and a compliance deadline in the same day
- A healthy paranoia that something will go wrong before it does, and the habit of checking for it
- Solid understanding of finances, budgets and P&L
- Finance or accounts background is a plus, not a requirement
- A stoic, even-keeled temperament, calm under pressure
