Job Purpose
The Practice Manager / Receptionist ensures the smooth day-to-day operation of The Footcare Clinic. The role combines front-of-house patient care with responsibility for administrative systems, business support, compliance, and assisting the Clinic Director in delivering an excellent patient experience.
Key Responsibilities
Patient Reception and Customer Service
● Welcome patients in a professional, friendly manner.
● Respond promptly to calls, emails, and enquiries.
● Book, amend, and manage appointments using the clinic system.
● Handle patient queries and resolve routine issues.
● Process payments and issue receipts.
● Maintain a clean, welcoming reception and waiting area.
Practice Management
● Coordinate daily clinic operations to support efficient patient flow.
● Support the Clinic Director with operational planning and workflow.
● Monitor appointment utilisation and reduce missed appointments.
● Maintain clear communication between clinicians and patients.
● Review and improve administrative processes.
Administrative Duties
● Maintain accurate, confidential patient records.
● Prepare correspondence, referral letters, and documentation.
● Manage incoming and outgoing post.
● Maintain organised electronic and paper filing systems.
● Order supplies and monitor stock levels.
● Liaise with suppliers, contractors, and service providers.
Financial Administration
● Reconcile daily payments and maintain accurate records.
● Follow cash handling procedures.
● Assist with invoicing and outstanding balances.
● Support administrative financial reporting.
Marketing and Patient Growth
● Maintain the clinic’s website and social media presence.
● Support patient recall and appointment reminder systems.
● Encourage patient feedback and online reviews.
● Assist with marketing campaigns.
● Build relationships to encourage repeat visits and referrals.
Compliance and Quality
● Maintain confidentiality and comply with GDPR.
● Support Health and Safety compliance.
● Ensure adherence to clinic policies and procedures.
● Assist with quality assurance and governance activities.

Pay: £18,730.00-£22,464.00 per year
